Description
The Academic Affairs Grants Coordinator is responsible for coordinating programs funded by the Strengthening Career and Technical Education for the 21st Century Act (Perkins V) and College Readiness Now grant programs and for managing the grants' fiscal resources.
Examples of Duties
+ Supports the Executive Director in the development and preparation of the Perkins and CRN grants, including grant applications, amendments, and reports
+ Tracks all Perkins purchases from input of initial requisition to completion
+ Tracks and maintains accurate financial records related to grant activities in accordance with state and federal regulations
+ Works with the finance department to ensure timely submission of financial reports and adherence to budget guidelines; verifies Perkins-related expenditures are tracked in correct federal and State of NJ function code categories
+ Coordinates all programs related to the Perkins grant, including the student bus pass program, industry-valued credential program, and professional development opportunities for faculty and staff involved in grant programs
+ Inputs, tracks and completes all purchases allocated to the Perkins and CRN grants including entering requisitions, tracking purchase orders, and coordinating with Receiving and Purchasing departments to ensure purchases are received, tagged, and inventoried as per grant deadlines
+ Serves as the primary contact for Perkins grant inquiries and maintains communication with state and federal agencies, as needed
+ Works closely with faculty, staff, and administrators to identify needs and opportunities for CTE program improvements
+ Coordinates internal and external stakeholder meetings including advisory boards and the Comprehensive Local Needs Assessment
+ Reviews Perkins budget regularly to ensure all Perkins-eligible purchases are executed as planned and approved
+ Prepares documentation and maintains records including, but not limited to personnel requisitions, employee assignment forms, travel requests, stipend forms, and advisory board minutes
+ Ensures that Perkins-eligible purchases requiring Board of Trustees approval, and/or bid submissions, are completed within necessary timelines and required procedures
+ Maintains time and activity logs and recap reports for Perkins-related functions and activities
+ Communicates with Perkins State Officer for Perkins-related findings and/or submissions
+ Assists with preparing advisory board and CLNA presentations
+ Makes necessary preparations for Perkins monitoring visits and audits
+ Performs related duties as assigned
Typical Qualifications
Education:
+ Bachelors degree
Experience:
+ Experience working in a higher education environment
+ Experience working with budgets
+ Experience working with grants
Competencies and Skills:
+ Demonstrated ability to work independently and exercise good judgment
+ Ability to coordinate complex activities with multiple parties, prioritize work, and meet deadlines
+ Proficient in Microsoft Office products with an emphasis on Excel
+ Demonstrated ability to communicate effectively both orally and in writing
