TITLE: Administrative Assistant to Executive Director of Exceptional Children's Services Clerk VFLSA STATUS: Non-ExemptQUALIFICATIONS: High school graduate and two years of training beyond high school or four years clerical experience in an office environment. Minimum typing skill of 45 wpm. Working knowledge of PC applications (word processing, database, spreadsheets). Exemplary interpersonal skills and communication skills.APPLICANT MUST UPLOAD:1. Resume'DUTIES AND RESPONSIBILITIES:Receives telephone calls and visitors. Refers calls or visitors to appropriate staff members if unable to handle the concern directly.Takes and transcribes dictation.Prepares correspondence, reviews and edit correspondence prepared by staff members from superior, checks for correct grammar, proper format, and necessary attachments.Gives information to public on other employees, which requires knowledge of office rules and regulations. Receives standardized reports, and compiles data into summary or consolidated form.Makes up and maintains personnel records, such as payrolls, and time cards.Collects a variety of data from existing office records and compiles into required form for use of supervisor or related working units.Reviews incoming mail. Refers important correspondence to superior assigned correspondence.Establishes and maintains files for records and correspondence in addition to sorting and distributing incoming mail.Prepares agenda for office and departmental meetings.Handles mechanics of planning meetings, takes minutes and follows through on matters requiring correspondence.Issues purchase orders and inspects related bills, reports, and forms for accuracy, completeness, and compliance with established policies and departmental requirements.Prepares materials for staff development and presentations to include multimedia slides and packets for participants.Establishes and maintains files and records on specified budgets as assignedServes as team player and role model for other employees in the organization; demonstrates a commitment to continuous quality improvement; supports and exhibits organizational core values of caring, respect, integrity, responsibility, high expectations, being customer driven, and valuing diversity.Performs other duties and accepts responsibilities as assigned.PHYSICAL REQUIREMENTS:Must have finger dexterity and be able to physically perform the basic life operational functions of kneeling, sitting, walking, stooping, reaching, lifting, pushing, pulling, talking, seeing, hearing, and repetitive motion.Must have hand and finger dexterity for accurate input and output of computer data.Must have auditory acuity at a level to hear telephone conversations, customer questions and concerns, and supervisor vocalized instructions.Must have visual acuity to read and analyze computer screen, documents and correspondence.Must be able to express and exchange ideas by means of spoken word.SPECIAL REQUIREMENTS:Background check with local and state law enforcement agencies required.Must possess a valid North Carolina driver's license.
