Job Description :

We are seeking a dynamic and detail-oriented Accounts Payable Assistant/Assistant Office Administrator to join our client's team, a boutique law firm. In this role, you will be responsible for administrative functions, coordinating office events, and supporting HR, legal, and accounting teams.

The ideal candidate will bring exceptional organizational skills, a strong understanding of bookkeeping and accounting principles, and proficiency in Microsoft Office Suite and QuickBooks. Responsibilities

  • Collaborate with marketing to update the website, and assist accounting with processing payment for invoices as needed.
  • Assist legal staff with order requests for office repairs.
  • Update forms for employee logs, telephone listing, reports, and holiday schedules.
  • Maintaining, distributing, and ordering office supplies as needed.
  • Coordinate client and referral gifts and sympathy arrangements as needed.
  • Assist with event coordination, and prepare set-up for meetings, and internal/external office events.
  • Communicate with your supervisor to determine project requirements and objectives.
  • Review and approve all closing matters in the database.
  • Assisting the Office Manager with any tasks or duties as assigned.
  • Assist the bookkeeper in processing and recording payments.
  • Creating and updating vendor files.
  • Assist in troubleshooting IT as needed.
  • Assist in ordering, approving, and maintaining promotional material inventory.

Ideal Experience

  • Associate Degree required; some college preferred with 1+ years of experience.
  • Excellent time management and organizational skills.
  • Background with multiple years of doing various accounting duties.
  • Basic knowledge of accounting and banking software.
  • Intermediate knowledge of Windows, Excel, Word, and how to work with PDFs.
  • Basic knowledge of Microsoft Office Suite functions.
  • Must have Bookkeeping, Accounting, Microsoft Excel, and QuickBooks.
