Responsibilities The Account Coordinators primary responsibility is to support the Corporate Event Sales and Production Teams with the planning, budgeting, and execution of events and/or entertainment projects in all markets and facets PRG serves. The ACs will report directly to Sales Leadership. Supports the life cycle of an event partnership related to a specific account across both the pre-sale and post-sale aspects of a project Build and nurture customer relationship by streamlining administrative tasks & filling in communication gaps Join AEs on pipeline calls to support SF maintenance (responsible for pipeline and forecasting accuracy) Creating terms and conditions for all projects Overseeing redline process. Acting as a liaison between legal and customer. Ensuring all legal discussions are facilitated until final, signed contract is achieved. Finalized contract saved in opportunity in Salesforce and share drive. Assist in the generation of production supporting documentation: drawing management, travel communications, production schedule development, flowsheets etc They will support both on-site and off-site project efforts through the planning and delivery of the appropriate services, equipment and support. Coordination of customer support and execution of account-specific projects under the direction of one or more Account Executives Assist with the creation of budget documents for new proposals Gathering of quotes from third party vendors, and providing support to the AE/PM through the execution of a project. The Account Coordinator is responsible for supporting AE/PM with maintaining established event schedule, scope, and budget. Essential Functions: Salesforce maintenance Open job numbers Create Purchase Orders Assist in submitting labor requests Review submitted documents and requests for accuracy and compliance Asist in obtaining pre-payments, manage deposit/installment requests to AR Help in troubleshooting issues with POs, invoices, payments for jobs for all projects New vendor set up Schedule or run job reports for Production Managers Assist Production Managers with project closeout Help in reconciliation of projects including order management Responsible for processing of invoices, POs, and job number creation in conjunction with the accounting team. Track and update production labor submissions. Ensure receipt of signed contracts and official forms required for project execution i.e. proof of insurance, tax forms, and change order agreements. Qualifications Knowledge, Skills, and Abilities Strong communication and customer service skills. Former PRG internship experience a plus Time management skills Ability to handle multiple projects at once. Physical demands Must be able to remain in a stationary position for extended periods of time. Extensive typing required. The employee may occasionally lift and/or move up to 20 pounds. Must be able to communicate effectively by listening and in both written and verbal forms. Required education and experience High School Diploma or equivalency required. Microsoft Word and Excel proficiency is required. Completion of two years of post-secondary education from an accredited institution of higher learning with a concentration in business administration, hospitality management, operations management or related entertainment technology fields. Or equivalent amount of production related experience. Minimum of 2 years of experience in project coordination within the entertainment market or equivalent experience in shop or show site operations. Actual salary to be determined by the experience, knowledge, skills, and abilities of the applicant combined with location and alignment with market data.
