Description
Often the first point of contact for the Accounting Office. Must provide excellent customer service to students, faculty, staff and external stakeholders. Collect and record cash receipts, process credit card transactions, and safeguard cash.
General:
* Serve as primary Accounting Office contact for inquiries at the Accounting Cashier window.
* Monitor the official Stephens College Accounting email account and forward emails to the appropriate team members.
* Manage the main Accounting Office & Financial Aid Office phone lines.
Accounting Assistance:
* Answer general inquiries about balances, checks being cut, invoices being paid.
* Serve as primary point of contact for vendor inquiries for the coordination and confirmation of accurate payment processing
* Scan prepaid expenses, unearned revenues, and capital purchases to folders on the server.
* Scan invoices and attach to records in Great Plains.
* Sort and stuff checks.
* Update and maintain vendor and W-9 files.
* Prepare written communication as needed.
* Maintain storage of all files.
* Courier as needed.
Cashiering, Recording, and Reconciliation:
* Receive and record cash receipts.
* Process and record credit card transactions. Monitor the College's daily payment processing data.
* Complete daily receipt reconciling and closing procedures including daily remote deposit processing.
* Safeguard cash; including, but not limited to:
1. Cash, checks, and undeposited cash receipts in safe every evening.
2. Verify the cashier's door and safe is locked every evening.
* Assist with student billing inquiries, personally or by phone.
* Maintain Event/Departmental Cash Request.
* Coordinate wireless payment processing procedures and equipment (Square, Central Bank, etc.) with internal stakeholders and student organizations for on-campus events.
* Record daily prepaid postage/cash (Post Office),Business Reply Mail (BRM), and Permit 16 Bulk Mail transactions.
* Monitor prepaid postage balances and reconcile the general ledger balances to source documents.
* Other duties as assigned.
Requirements
* Associate's degree or equivalent accounts payable/office experience
* Knowledge of Microsoft Excel, Outlook, and Word
* Excellent written and oral communications skills
* Strong analytical skills with great attention to detail
* Strong organizational and interpersonal skills
* Great Plains or similar accounting software experience preferred
* One to three years higher education or non-profit experience preferred
