Reporting to the Executive Director of the Foundation, the Accounting and Operations Manager oversees accounting for the Columbia-Greene Community College Foundation's revenue and expenses. The Accounting and Operations Manager provides monthly financial reports to the Foundation Board of Directors and supports the Investment Committee of the Board.

Duties and Responsibilities

Bookkeeping

  • Prepares checks received for deposit in the appropriate bank, observing appropriate segregation of duties within the Foundation office. Makes bank deposits as needed.
  • Records the transaction in the appropriate fund (i.e., general unrestricted fund or specific restricted fund that includes endowments) or start a new fund balance in a fund with restrictions or unrestricted fund as required.
    • Reconciles accounting between the Foundation database and the College ledger.
  • Provides daily record of checks processed and other pertinent information regarding the donations to Foundation staff.
  • Processes all Foundation expenses in a timely manner.

Accounting

  • Performs internal and external reconciliations.
    • Manages the reconciliation of investment accounts and facilitates the transfer of funds to and from investment portfolios as required by the Foundation.
  • Oversees the Foundation operating budget and cash flow to the College for strategic investments in campus priorities.
  • Prepares financial statements for the Foundation Board and Investment Committee meetings.
  • Provides necessary information for annual audit and serves as the Foundation liaison to the auditors.
  • Collects, maintains, and reports data for tax reporting, including 1099s as appropriate.

Financial Management

  • Attends all Foundation Board meetings and answers questions regarding the financial reports.
  • With the Donor Relations Manager, supports accurate accounting and use of grant funds within grant parameters and preparation of grant reports to funders.

Foundation Operations

  • In collaboration with the Executive Director, ensures the smooth operations of systems and processes within the Foundation, including document retention and destruction, hard copy and electronic file maintenance, and overall office management.
  • Oversees the production of the monthly dashboard for the Foundation team and Board of Directors.
  • Supports prospect research utilizing the Raiser's Edge screening tool and develops individual prospect research and visit briefing as directed.

  • The ability to sit or stand at a computer for long periods.
  • Some early mornings, nights and weekends are required.
  • Integrity and the highest sense of personal ethics.
  • Able to manage “up” to correct errors and misunderstandings.

Qualifications

  • Knowledge of Quickbooks, preferably Quickbooks Online.
  • Proficient in office technologies, especially Microsoft Excel.
  • At least three years in bookkeeping and accounting with demonstrated expansion of skills and responsibilities over time.
  • An articulated belief in the mission of Columbia-Greene Community College, and the importance of community college education
  • Strong communication skills, including business writing and verbal presentation.

Salary and Benefits Information

Annual salary is $58,656.
