Title: Accounting Clerk Location: San Francisco, CA Role type: Hybrid Salary Range: $62,000 - $70,000 THE ORGANIZATION A well-established architecture firm focused on designing projects with intricate programming, challenging site conditions, tough approval processes, tight budgets, and ambitious aesthetic goals. THE POSITION The Accounting Clerk will support the accounting department. This includes, but is not limited to, routine clerical and data entry tasks such as processing accounts payable, billing, and receivables.This position has a requirement to be in the office twice a week. KEY RESPONSIBILITIES
  • Supervisory responsibilities: None
  • Conduct routine data entry management for accounting records including accounts payable, consultant AP, employee expense reports, and billing.
  • Print checks, obtain signatures and mail checks for vendor AO and employee expense reports.
  • Assist with vendor inquiries / reconciliations.
  • Set up payment methods and payment schedules for vendors: vendor payments, bank ACHs, credit card and vendor portals.
  • Record client payments and scan check deposits to bank.
  • Maintain back up of expenses.
  • Vendor Information Management (W9) and Quality Control.
  • Setting up new vendors.
  • Review and process billing statements, invoices, credit card statements and similar documents; alert supervisory staff of any discrepancies.
  • Timesheet maintenance: Send reminders, ensure billable time is correct, import file into Ajera.
  • Collect and distribute mail, deposit checks.
  • Assist in Month End / Year End Close: General Ledger Reconciliation, including 1099s.
  • Work under the supervision of Upper Management.
  • Perform other related duties and clerical tasks as needed and assigned.
REQUIRED SKILLS & ABILITIES
  • Ability to accurately and efficiently enter data into all required software and systems.
  • Excellent time management and organizational skills are imperative.
  • Effective and efficient written and verbal communication skills.
  • Adaptable and flexible.
  • Possess strong analytical and problem-solving skills.
  • Strong attention to detail.
  • Self-motivated and comfortable working independently.
  • Ability to work in a fast-paced, deadline-oriented environment.
  • Ability to create and follow clear processes.
  • Comfortable with taking direction yet able to take the initiative as needed.
  • Able to reliably set priorities, manage multiple tasks, and handle pressure / tight deadlines.
  • Proficient in Deltek / Ajera, Microsoft Office Suite and related software.
EDUCATION & EXPERIENCE
  • Successful candidate must have a high school diploma as well as a minimum of 3 years' professional accounting experience.
  • Bookkeeping and/or accounting experience required.
  • Previous experience in an accounting role at an Architecture and/or Engineering firm is a plus.
