JOB DESCRIPTIONTitle:Department/Location: Accounting ClerkFinance & Administration/LawrenceburgReport To:Classification and Salary Grade: Assistant Manager, Finance & Accounting Non-Exempt; FA0Position Type:Subordinates:Full-Time0Origin Date and Revision Date: External Contacts:OD: 8/20/2024Customers, Affiliates, VendorsIntroductionThe Accounting Clerk is responsible for all activities related to accounts receivable, maintaining financial records, running reports, data entry, recordkeeping and other administrative accounting tasks and projects as assigned. This position conducts job duties in a manner that demonstrates a strong food safety culture which ensures the safety and quality of our products.Summary/ObjectiveThe Accounting Clerk will support the Finance and Accounting Department in performing basic accounting responsibilities related to reporting, bookkeeping, research and resolving discrepancies, administrative task and data entry activities as related to accounts receivable, end of month reporting, reconciliation and expense reporting. This role performs with a high attention to detail, keeping Company accounting information confidential. The position will report directly to the Assistant Manager of Finance and Accounting. Essential FunctionsTime Allocations
  • Accounts Receivable 75%
    • Review sales invoices for proper coding and documentation, research and resolve discrepancies.
    • Maintain customer accounts (past due balances, credits, settlements, etc.)
    • Communicate with vendors and customers as needed to investigate and resolve discrepancies in billings and payments.
    • Maintain customer master file and reconcile on a monthly basis.
    • Reconcile accounts between sub ledger and general ledger
    • Identify areas for process improvement
    • Perform month, quarter, and year-end closing duties
    • Complete monthly shipping reports
    • Complete monthly excise tax returns
  • Other Accounting and Analytical Responsibilities 25%
    • Assist with Petty Cash functions
    • Create manual deposits
    • Assist with Team Member Receivables functions
    • Set up vendors within the accounts payable system
    • Maintain electronic filing system and complete periodic audits of the system
    • Identify information by developing reporting and verifying information
    • Answers accounting questions by researching and interpreting data
    • Confidentiality maintain all accounting records.
    • Operates in accordance with GAAP and internal policies and controls
    • Draft and/or updates SOP's for roles and responsibilities
    • Identify areas for process improvement
    • Assist with Internal Control and Financial Audit tasks.
    • Performing other accounting, audit, or tax duties as assigned.
    • Provides back-up support for the other clerical positions in the finance department and assumes their duties in their absence.
  • Continuous Training and Education 5%
    • Updates job knowledge by participating in educational opportunities, reading professional publications; maintaining personal networks and participating in professional organizations.
    • May train other department employees and or other employees in the company in accounting software, etc.

    Qualifications
  • Required Competencies
    • Ability to apply basic accounting and business principles to daily operations.
    • Strong attention to detail and excellent organizational skills with the ability to handle multiple task simultaneously
    • Proficient computer literacy with ability to utilize the Microsoft Office Suite, including Word, Excel and Outlook. Excellent excel skills preferred.
    • Superb interpersonal skills - oral and written
    • Team player that must be able to establish immediate rapport with all levels of the team.
    • Must have a positive attitude and display initiative
    • Provide high degree of accuracy; sets procedures and controls to minimize mistakes
    • Attentive to detail, ability to identify inconsistencies, analyze data and reconcile issues.
  • Required Education and Experience
    • Must be 21 years old
    • High School Diploma or equivalent
    • 1 year of data entry/ bookkeeping/ accounting or other administrative task
    • Basic knowledge of GAAP requirements
  • Preferred Education and Experience
    • Associate's degree in accounting or a related field
    • Solid understanding of accounts receivable cycle including invoice processing, posting of payments,
    reconciliation of accounts and month, quarter, and year-end closing activity.
    • Experience with ERP/Accounting Software (FRD utilizes Microsoft Dynamics 365).
    • Experience with downloading information from banking sites.
    • Experience with inventory.

  • The Accounting clerk has no direct reports.
  • Work Environment
  • This job operates in a professional office environment. While performing the duties of this job, will work primarily in a climate-controlled environment with minimal safety/health hazard potential. Sedentary, sitting, walking, occasional lifting (overhead, waist level) from floor, bending, frequent near vision use for reading and computer use.
  • Travel
  • Travel will be required between Kentucky locations. Travel could be required to other sites, cities, or countries to learn more about specific or general operations, equipment, or methods.
