Salary: $4,825.00 - $7,812.00 Monthly Location : 343 W Wishkah Aberdeen, WA Job Type: Full-Time Job Number: 42 Department: Administration Division: Finance Opening Date: 11/04/2024 Closing Date: 11/24/2024 11:59 PM Pacific FLSA: Non-Exempt Bargaining Unit: N/A DescriptionPosition reports to: Finance Manager Manage or Supervise: N/A Under the general direction of the Finance Manager, the Accounting Specialist performs financial support activities, including accounts payable, fixed assets, journal entries, routine and complex accounting transactions, data entry, process accounting documents, and prepares reports, vouchers, and remittances for receipt and disbursements of funds. Provides administrative support to agency personnel, including but not limited to backup reception coverage, pass sales and telephone inquiries. Examples of Duties
  • Posts a variety of accounts payable transactions and bank reconciliations manually and electronically; makes necessary mathematical computations for posting and maintenance of records.
  • Review, code, and process vouchers and other accounting documents to ensure accurate BARS account coding for invoicing.
  • Maintains vendor information and contract files and processes IRS documents relating to vendors. Ensures vendors meet state and federal business requirements. Tracks and ensures compliance with small contracts and any abnormal vendor activity.
  • Check all documents for accuracy, appropriate signatures, correct identification numbers and pertinent dates; complete reconciliations; sort and file accounting documents; serves as back up for accounts receivable; ensures compliance with state auditor requirements and assisting with auditing.
  • Assist the Finance Manager with the preparation of the reports for the monthly Board meetings.
  • Serves as program administrator of corporate credit card program. Conducts audits and reconciles source documents to monthly statement. Monitors appropriate usage, procedures, reporting, payment processing and rebate tracking. Ensure compliance with procurement, travel and purchase policy.
  • Process, reconcile and audit all travel vouchers, authorizations and expense reports.
  • Coordinate with Operations and Maintenance to ensure Fuel Card program is tracked accurately and adheres to policy. Prepare reports as required.
  • Assisting with capital and fixed asset inventory management.
  • Assist with clerical activities, types and proofread correspondence, statements, and forms; provide backup support with pass distribution, receipting, telephone inquiries, and reception.
  • Performs special projects as needed, including data and information collection, preparation of materials and review.
  • Other duties as assigned.
Typical QualificationsRequired QualificationsKnowledge of: Office practices and procedures, data entry, word processing; filing, record-keeping and answering telephones.General knowledge of computers, computerized accounting systems and spreadsheets, and other standard office machines.Knowledge of accounting and accounting principles and practices, regulations as well as State and Federal law.Knowledge of business English, spelling, and arithmetic. Skills in: Reconciling accounts Develop processes and systems that maintain accurate documentation and records.Compiling, analyzing, and reporting financial dataPerforming audits and resolving discrepanciesCommunicate effectively, both in writing and verbally. High level of accuracy, organization, filing and multitasking. Ability to: Make routine computations and tabulations accurately and with reasonable speed.understand and carry out oral and written instructions.Ability to learn assigned administrative and clerical tasks readily within a reasonable training period and to adhere to prescribed routines. Supplemental InformationEducation and Experience Associate's degree and three years of experience in public sector accounting; or an equivalent combination of education and experience sufficient to successfully perform the essential duties of the job such as those listed above Licensures/Certifications and Other Requirements Valid Washington State drivers' license with five (5) years of acceptable driving record. Working Conditions While performing the duties of this job, the employee is regularly required to sit; use hands to finger, handle, or feel objects; occasionally stand and reach with hands and arms; occasionally required to walk, stoop, kneel, crouch or crawl. Lifting up to 20 pounds, carry, push, pull or otherwise move objects related to printer, copier and postage machine.
