Under the supervision of the Executive Director, the Accounting Specialist is responsible for the oversight of all finance, accounting, and reporting activities, and leads all day-to-day finance operations across the agencys 14 accounts. The Accounting Specialist must be a self-starter and enjoy working within a small team environment. The ideal candidate will have a holistic understanding of nonprofit finance. This includes tracking cash flow, financial planning, and analyzing the company's financial strengths and weaknesses to propose corrective actions. The Accounting Specialist ensures the accuracy of financial reporting and compliance with regulations, plays a critical role in budget management, and works directly with the Agencys CPA.Essential Job Duties (include but not limited to):Coordination of payment schedules (Insurance, rents, notes payable, etc.).Perform all internal audits and monitoring of cash flow.Preparation of annual audit materials.Oversee all Accounting duties. Provide training where necessary.Prepare monthly summaries of income and expenses for all programs.Prepare monthly reports of Interprogram Transfers.Reconcile monthly bank statements for all programs.Prepare and maintain Cash in Bank Reconciliations for all programs.Oversee Imprest Account Reconciliation.Performs all bookkeeping functions for KC, KIS-LKPT, KIS-CLK, KTS, KI, KRS, KLS, T-Stores, PSI General Account, PSI Savings account, S.S.E.O., KA, KTC, and KILTSKeeps records of staff purchases made on company accounts and reports status to the Executive Director.Maintain and update Chart of Accounts.Maintain and update all lease information.Maintain and update all loan information.Review and update Agency Insurance Package for Payment Structure.Conducts Quarterly Admin AnalysisMaintains W-9s, 1099s, etc.Overall Administration of Charge Card Procedures, Machines, Etc.Communication Liaison with Telephone Company.Manage Phone Services and Utility Accounts.Oversee all facets pertaining to cellular phones.Work with QuickBooks Support when necessary.FilingBackup for phonesOther Duties as AssignedQualifications:Minimum 5 years accounting experience. Must have a minimum of 2 years Admin-level experience with Intuit QuickBooks Enterprise Non-Profit Version 20 or higher; proficient in the use of MS Word and Excel, including Pivot Tables.Extensive experience with General Ledgers.Strong knowledge of common accounting practices and financial regulations.Exceptional attention to detail and accuracy, thoroughness; detail oriented; strong organizational skills; pro-active, reliable; strong work ethics; flexible and adaptable; experience and ability to meet deadlines; good customer relations and phone skills; ability to multi-task; experience with ten-key.Must be able and willing to work as a team within the Administration Department, excellent communication and interpersonal skills, ability to maintain confidentiality.Ability to work independently and manage time effectively. Strong analytical and problem-solving skills. Ability to interpret complex financial information and provide actionable insights.High level of integrity and dependability.Must pass DOJ Fingerprint clearance, must pass pre-employment drug test; must have reliable transportation and must be able to work overtime if the position demands the need during specific time frames throughout the year.Ability to pass QuickBooks and Accounting skills test.
