Position Title: Accounts Payable ClerkClassification: Hourly, Non-exemptReports to: Accounting Coordinator The Accounts Payable Clerk is responsible for processing payment of invoices and purchasing of office and other supplies. This position will assist in maintaining the day-to-day administrative needs of the Accounting Department (filing, scanning, answering the telephone and such), and other functions as required. Essential Functions 1. Process outgoing payments in compliance with financial policies and procedures. 2. Perform day to day financial transactions, including verifying, classifying, and recording accounts payable data. 3. Reconcile the accounts payable ledger to ensure that all bills and payments are accounted for and properly posted. 4. Verify and investigate discrepancies, if any, by reconciling vendor accounts and monthly vendor statements. 5. Generate reports detailing accounts payables status. 6. Understand expense accounts and cost centers. 7. Understands compliance issues around accounts payable processes (W-9, sales tax, etc.). 8. General ledger journal entries and credit card and bank account reconciliation. 9. Handling payments in an organized and timely manner. 10. Development and maintenance of Excel spreadsheets. 11. Internal credit card reconciliation when required. 12. Sales and use tax returns. 13. Ensuring imaging of invoice supporting documents is timely and accurately performed. 14. Assisting with audit support as necessary. 15. Assisting in streamlining the accounts payable process. 16. Working with account receivable clerk and others to resolve account issues when necessary. 17. Expense report handling. 18. Purchases office and other supplies. 19. Additional responsibilities as requested. Requirements Competencies 1. Must be detail oriented. 2. Excellent organizational skills. 3. Excellent communication skills both verbal and written. 4. Ability to work independently or as a team member. 5. Convey a professional and positive image and attitude representing core company values and goals. 6. Understand and demonstrate the importance of maintaining confidentiality. 7. Proficient with Microsoft Office software, with emphasis on Excel. 8. Hands-on knowledge of QuickBooks online. 9. Ability to work under pressure, multi-tasking to meet changing deadlines. 10. Excellent proofing skills producing error free documents. 11. Practices good telephone etiquette skills. 12. Must be responsible and reliable. Required Education and Experience 1. High School diploma or GED required. 2. QuickBooks online, 1+ year. Supervisory Responsibility No Work Environment This job operates in a professional office environment and routinely uses standard office equipment such as computers, phones, photocopiers, and filing cabinets and fax machines. Physical Demands The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. While performing the duties of this job, the employee is regularly required to talk or hear. The employee frequently is required to stand; walk; use hands and fingers and reach with hands and arms. This job requires the employee to lift at least 15 lbs. infrequently. Position Type/Expected Hours of Work Occasional evening and weekend work may be required as job duties demand.
