To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. Performs general office functions and aids with office duties as needed. Supervision received and exercised Receives general supervision from the Director of Financial & Auxiliary Services Exercises no supervision. Examples of Duties Responsible for the vouchering and payment of invoices, contracts, travel, and requests for reimbursement for State, Institutional, and County funds. Match invoices with purchase orders; ensure completeness and accuracy of invoices and shipments. Process non-financial aid student refunds. Responsible for reporting, verifying, and submitting escheats annually to Raleigh to report any unclaimed checks for the fiscal year in review. Serve as backup to daily deposit. Maintain an accurate database of all college-owned fixed assets (equipment) Assist with the annual audit and special request inventories of college fixed assets. Ensure that required fixed asset reports are submitted accurately and timely. Sort and distribute mail within the business office. Ensure accounts payable package is complete in Softdocs. Cross train with accounts payable and purchasing staff QualificationsExperience: Two years of general accounting experience in a Business Office or similar environment. Education: Associate's Degree in Accounting or Business Administration required. Knowledge of:
  • Advanced customer relations techniques
  • Modern office practices, procedures, and equipment including a computer
  • Competence using Microsoft Excel and Word
  • Principles and procedures of record keeping
  • Basic mathematical principles
  • Accounts receivable and general banking procedures
  • Procedures and practices involved with handling money, issuing receipts, and balancing a cash drawer
  • English usage, spelling, grammar, and punctuation
Ability to:
  • Work independently in the absence of supervision
  • Perform varied clerical work
  • Learn functionality of the college's database system.
  • Perform basic mathematical calculations quickly and accurately
  • Understand and carry out oral and written instructions
  • Communicate clearly and concisely, both orally and in writing
  • Establish and maintain effective working relationships with those contacted in the course of work; maintain a positive, assertive, confident, and professional demeanor
  • Accurately work with financial reporting and deposits
  • Interpret and explain college policies and procedures related to financial transactions
  • Operate a variety of office equipment including a calculator, fax machine, and computer terminal
  • Maintain a variety of records and files
Supplemental InformationEnvironmental Conditions: Office environment; may periodically work irregular hours, including nights and possibly weekends. The worker is required to have close visual acuity to perform activities such as: preparing and analyzing data and figures; transcribing; viewing a computer terminal; and/or extensive reading. Physical Conditions: Frequent walking, standing, and sitting for prolonged periods of time. Frequent communications, verbal and written. Light work: Exerting up to 20 pounds of force occasionally, and/or up to 10 pounds of force frequently, and/or a negligible amount of force constantly to move objects. Supplemental Information: All advertised positions are contingent upon funding. All employees are paid by direct deposit. Paid Leave Annual Leave: All Full-time, non-faculty employees earn from 10-25 days annually based on years of service and contract period. Sick Leave: Full-time employees earn one day (8 hours) of sick leave per contract month. Sick leave from other NC State Agencies in the retirement system may be transferred to CVCC. Institutional Holidays: In addition to the various types of leave, CVCC grants an established number of legal holidays to full-time, regular employees on an annual basis. Health Care Health Insurance: 2 plans are available to full-time employees. Coverage is available, at current group rates, for spouse, child, or entire family. Dental Insurance: Available to full-time employees and any eligible dependents at current group rates. Vision Care: Coverage is available at current group rates, for employee and any eligible dependents. Additional Coverage for Critical Illness, Cancer, Accident, Disability, etc: Optional supplemental coverage plans are available to employees who choose to participate. Flexible Spending Accounts: most employees can opt for pre-tax flexible spending accounts which can be used to pay for out-of-pocket medical, dental, vision or dependent care expenses. Disability Insurance Full-time employees are enrolled in the Disability Income Plan of North Carolina. This plan provides both short-term and long-term disability income benefits. Further information regarding plan requirements and benefits may be obtained from the Retirement Benefits Manual (see the Disability Income Plan of North Carolina section). Retirement NC Teacher's and State Employee's Retirement (TSER's): For employees assigned to work 20 hours per week or more, participation in this program is required. Employees contribute 6% of their salary, which is tax deferred. Vesting in the retirement system requires 5 years of membership. Tax Deferred Programs: Tax-sheltering programs are available through IRS Code 125 (Cafeteria Plan), 401 (k) and 457 (Deferred Compensation). Additional Benefits Longevity Pay: After 10 years of creditable service, employees, receive an annual longevity payment based on years of service and annual salary. Life Insurance: After one year of service, a Death Benefit is provided by the Retirement System. Optional life insurance coverage is also available for both employee and dependents through payroll deduction. Employee Assistance Program: It is the policy of CVCC to provide an Employee Assistance Program (EAP) as a benefit to assist employees with personal problems that may adversely affect job performance.
