ACCOUNTS RECEIVABLE SPECIALIST Centerbrook, CT Tower Laboratories is the premier effervescent product manufacturer in the U.S. We develop and manufacture over-the-counter medications, prescription pharmaceuticals, personal care, beverage and household products. Please visit our website to learn more about us at www.towerlabs.com.POSITION SUMMARY & RESPONSIBILITIES: The A/R Specialist is an integral member of the Accounting team with primary responsibilities in the functional areas of accounts receivable (A/R) and debit management. Responsible for managing and processing customer chargeback disputes on behalf of the company. This role requires a high level of accuracy, attention to detail and the ability to interpret sales contracts. The AR Specialist has excellent customer service and organizational skills, and is able to resolve customer/freight carrier disputes in a timely manner. . Also responsible for Receptionist functions and office supply inventory. This is a full time, in-office, non-exempt hourly position; hours on 1st shift are 7:30am to 4:00pm ESSENTIAL FUNCTIONS:
  • Daily review of customer chargeback deductions; Research and verify legitimacy of deductions
  • Resolve deduction discrepancies by communicating with customer, freight carries, and internal departments: Controller, Sales Team, and Warehouse personnel.
  • Process necessary documentation for shortage deductions; Prepare documents for non-payment cancellation and reinstatement processes.
  • Collect balances due or review for potential credit memos.
  • Back up for cash receipts posting and invoicing.
  • Ensure that organized, detailed collection notes are made within the company's ERP system.
  • Adhere to policy and procedures per customer sales contracts, business guidelines and chargeback processes.
  • Partner with Sales & Warehouse Management to support business process continuous improvement activities; identify insights on root cause analysis/error prevention solutions.
  • Create weekly customer cash forecast for executive management.
  • Prepare daily bank deposit slips; backup for applying payments to accounting system.
  • Daily mail pickup and drop off. Sort and distribute mail
  • Perform Receptionist duties; covering front desk, greeting & directing visitors according to Visitor Policy.
  • Maintain inventory of office supplies; maintain inventory of toner for all copiers in both CT facilities.
  • Performs all work in accordance with established safety, GMP and company procedures.
  • Other responsibilities as assigned.
  • qualifications:
    • Strong knowledge of the chargeback process
    • Proficient in the use of ERP and Customer/Freight Carrier claim web portals
    • Knowledge of spreadsheet (Excel) and accounting software
    • Strong attention to detail
    • Exhibit exceptional customer service to internal as well as external customers
    • Ability to analyze and resolve disputes in a timely manner
    • Excellent communication skills
    • Ability to manage multiple tasks
    • Associate's degree in Accounting or equivalent work experience in Accounts Receivable
    • Previous experience in credit & collections highly preferred
