Abilities First is proud to be an equal opportunity employer.Abilities First is seeking an Administrative Assistant for our Middletown Educational Center. The Administrative Assistant will perform operational and secretarial tasks to maintain order and business within the school programs. Excellent judgement in following school protocols and a positive approach in working with staff and visitors to the school. The Administrative Assistant is responsible for secretarial support for the school administrator.This is a fulltime 37.5 hour a week position for 52 weeks a year. Salary: $17.90 - $18.90Responsibilities may include but are not limited to:
  • Acts as the primary contact between all school districts referring students to program including scheduling IEP meetings, writing acceptance letters, follow up information with district, creating student notebook with all educational/therapeutic evaluations.
  • Maintain all student notebooks throughout the school year adding reports, IEPs, and related reports following IEP meetings.
  • Assist in student intake process, collecting intake paperwork and ensuring all paperwork is submitted to the IEP Coordinator.
  • Collect all scripts for Related Services, ensuring the school has permission from parents and/or legal guardians, creating and sending scripts to the appropriate healthcare providers for signatures.
  • Collect and process all billing contract hours from therapists monthly to Business Office.
  • Maintain billing data including tracking billing questions/concerns for the school districts, running audits to confirm information is up to date and in the system for the school districts, follow up on any missing information, pull data regarding supervision or related services per the school district's request, run reports upon request of the school districts.
  • Assist school districts in evaluation requests, assist in facilitating and creating contracts, ensuring all paperwork is submitted to Business Office to issue invoices to school districts.
  • Responsible for State Reports
  • Oversee Medicaid and SSI paperwork including collection of all requested data and submission.
  • Distribute letters written to parents and/or legal guardians.
  • Oversee all aspects of school petty cash and documentations.
  • Coordinate all services appointments for equipment repairs.
  • File educational information with nurse's office, student notebooks, and behavior office.
  • Maintain school data including class lists, schedules, staff and student contact information. Ensure all data is updated as necessary.

Requirements
  • High School Diploma or equivalent.
  • Minimum of four (4) years of secretarial/clerical experience required.
  • Graduate from Business School, or associate's degree in computer science, data management or a related field preferred.
  • Must be able to multitask and have excellent attention to skills concerning details.
  • Must have a current NYS driver's license, free of moving violations; deemed acceptable by our insurance carrier.
