Job Description :
The Location Administration Lead position would be responsible for the below:Expectations from the Role:(a) Operations: (i) Oversee & ensure smooth & Streamlined Admin operations for Milford/Seven Hills Park location.(ii) Liaise with the Statutory /Govt. bodies to ensure all required approvals/permits/certificates are in place for smooth functioning of Milford/Seven Hills Park.(iii) Liaise/Coordinate/Guide Location Admins in day-to-day operations(iv) Ensure proper maintenance and services are rendered to ensure all Critical and other equipments are in working condition(v) Tracking deliverables and following up with required Admin SPOCs in consultation with Admin Operations Manager & North America- Admin Head.(b) Vendor & Contract Management: (i) Act as a company representative and point of contact when corresponding with vendors, Landlords and contractors regarding scheduling, Maintenance work, quotations, Invoices, and other items as needed. (ii) Coordinate & liaise with landlord/ Property Managers and other stake holders at regular intervals to build a working relationship and ensure a conducive working environment on site to ensure compliance with Statutory and building guidelines to meet various TCS requirements.(iii) Track vendor contract agreements, review agreements, request agreements renewals. (iv) Coordinate with legal team and vendors on contract agreements and ensuring valid agreements are available for all vendors.(c) Audit & Compliance: (i) Work with Functional Managers & Leads to ensure 100% compliance with Statutory Requirements & Company policies. (ii) Manage and ensure implementation of TCS Security, HSE, Data Privacy & other Policies / guidelines at Milford/Seven Hills Park. (iii) Monitor and ensure audit readiness of location in coordination with Lead- Audit & Compliance.(iv) Monitor and ensure office / location complies with Statutory requirements, building codes etc.(v) Ensure compliance and adherence to Work Environment Guidelines (WEG) and HSE Guidelines.(vi) Coordinate with other Location Admins and Property managers to ensure compliance with Statutory and building guidelines.(vii) Ensure Fire/CCTV/other drills are carried out as per the desired frequency and corresponding reports are submitted in a timely manner.(d) Coaching / Mentoring: Train and coach Location Admin team members on a regular basis.(e) Cafeteria Management:(i) Ensure smooth & ; streamlined cafeteria operations(ii) Ensure all the required permit/permissions are in place for smooth operations(f) Reports & Returns: (i) Review all reports & returns and ensure accuracy and timely submission to Corporate / other stake holders.(ii) Critical reports including Daily report, Monthly Admin report, Preventive Planned Maintenance, Seat occupancy Report, CCTV Drill, Electricity & Water consumption Report etc. to be reviewed diligently before submission(g) Budget Management: (i) Prepare budget, track expenditure, and monitor Budget utilization. (ii) Monitor and implement cost control measures and ensure streamlined invoice payment process. (iii) Receive Sr. TCS / TATA Group Management at airport / Hotels, Coordinate travel, conveyance, and hotel bookings as and when directed by Supervisor(h) Client visit management including: - (1) Receiving the clients or TCS Management, (2) Ensuring readiness of conference rooms/meeting rooms, (3) Extending necessary hospitality support in consultation with Office Head and respective Account Managers.(i) Others:(i) Ensure inventory management and timely capitalization of all Capex items. (ii) Implement process improvement measures on a regular basis for Milford/Seven Hills Park.(iii) Undertake Construction management as per requirement of the location. (iv) Undertake any role/task as assigned by Supervisor. (v) Should have basic knowledge of Access, CCTV & BMS. (vi) Should understand Data Privacy Act and similar laws.(vii) Understanding of Health and Safety norms at workplace(j) Desired/Must Have Competencies (Technical/Behavioral Competency):•Experienced professional who has held an Admin Managerial position of large organization(k) Good to Have Competencies (Technical/Behavioral Competency):•Worked in a similar organization in terms of nature of business and scale of operation.•An ability to assess business needs, identifying key priorities and opportunities.•Experience managing contractors and key suppliers, monitoring, and reporting on their performance against tasksQualifications and associated Attributes:•Graduate.•8- 12 years experience.•Should possess excellent English communication skill s (written & verbal)•Should have good computer skills: Microsoft Office (especially word, excel, power point etc.).•Must be a team player with good interpersonal skills•Should possess: - (1) Good organizational and planning skills, (2) Analytical and problem-solving skills, (3) Good and quick decision-making capability.•Should be: (1) Proactive (2) Self-motivated (3) Flexible (4) Adaptive (5) Professional (6) Able to multitask, (7) Accessible on phone for any emergency requirement at the location and (8) Available for work outside of regular business hours if needed.
