Idaho Department of Juvenile Corrections is now hiring for a full-time Administrative Assistant I (AA1) that will be located at our Headquarters building in beautiful downtown Boise office. If yes, then this is the position for you! This position provides office support to internal IDJC programs and divisions on an as-needed basis. The variety of office support provided by this role will require an in-depth knowledge of the assigned program areas, which the agency will provide during on-the-job training. This positions schedule is Monday-Friday 8:00 am- 5:00 pm.

Responsibilities:
- Knowledge of multiple procedures and program guidelines to make decisions. Decisions cover a variety of tasks.
- Personnel will respond to non-routine inquiries and explain department services, policies, procedures, and rationale for decisions to customers.
- Incumbents typically utilize a variety of computer operations to complete daily assignments.
- Incumbents will perform office support or secretarial duties such as composing correspondence; creating, reviewing, and processing documents and records
- Incumbents will apply good knowledge of English language, grammar, and punctuation to proofread and edit department policies.
- Serve in a customer service role answering phone calls and greeting visitors and customers at the reception desk
- Identifying and correcting errors and omissions on documents received from staff, departments and/or public; and maintaining records.
- They may schedule appointments or services and make meeting and travel arrangements.
- Drafting/sending letters.
- Filing court documents, scanning and digitizing files.
- Transcribing and proofreading legal documents.
- Organizing documents for court filing and record keeping.
- Manage legal support inbox.
- Assist with vehicle maintenance coordination; seasonal tire rotation/oil changes.
- Order supplies.
- Maintain office, lobby appearance.
- Other duties as assigned.
Minimum Qualifications:
Good knowledge of:
- Office support functions including word processing, filing, composing a variety of business documents and reception.
- Gathering and compiling data.
- Balancing and coordinating a workload for multiple projects.
MQ Specialties:
Experience:
- Taking minutes.
- Using spreadsheet software.
- Intermediate word processing skills.
- Collecting and organizing data and managing a data base.
Desired Qualifications: These skills and experience are not required for the position but may increase your overall score
- Customer Service experience.
- Proofreading and editing technical materials.
- Proficient in using MS Word, MS Excel, MS Outlook, MS Access, MS PowerPoint, and Internet.
- Strong organizational skills.
- Excellent attention to detail.
- Exceptional written and verbal communication skills.
