The Administrative Assistant to the Vice President of Student Life and Enrollment Services at the College of Southern Idaho provides specialized administrative support essential to the effective and efficient operations of a collegiate office. This role requires exceptional attention to detail, an understanding of higher education environments, and the ability to manage sensitive and complex matters, including compliance with Title IX, state and federal regulations, and engagement with professional boards and organizations at local, state, and national levels. The successful candidate will demonstrate professionalism, discretion, and the capacity to foster collaboration and trust among students, staff, faculty, and external stakeholders. Evening and weekend availability is required.Key ResponsibilitiesAdministrative and Office Management:* Maintain an accurate, up-to-date calendar for the Vice President, scheduling meetings and coordinating priorities effectively.* Prepare, review, and organize reports, agendas, and materials for meetings, ensuring alignment with institutional goals.* Develop and maintain an organized filing system for compliance, Title IX records, and institutional communications.* Procure and manage office supplies and equipment in compliance with institutional procurement policies.Compliance and Reporting:* Oversee and maintain records ensuring adherence to Title IX, state and federal regulations, and institutional policies.* Collaborate with the Office of Institutional Research to interpret and utilize Power BI reports and other data sources for informed decision-making.* Prepare compliance documentation for professional boards and organizations, ensuring timely submissions and adherence to regulations.Meeting and Documentation Coordination:* Compile, distribute, and maintain meeting agendas, minutes, and follow-up actions, ensuring clarity and accountability.* Attend critical meetings, transcribe notes into professional formats, and disseminate to appropriate parties.Program and Leadership Support:* Co-advise the Presidential Leaders Program, managing activities, scholarship processes, and application cycles.* Assist in the delivery of the Leaders and Learners student leadership course and other leadership initiatives.Financial and Travel Management:* Manage financial processes, including travel reimbursements, P-Card reconciliations, and invoice preparation, adhering to institutional procedures.* Coordinate travel arrangements for professional development, conferences, and external engagements.Human Resources and Training:* Facilitate the recruitment and onboarding processes for designated staff, ensuring compliance with institutional and state hiring protocols.* Develop and coordinate role-specific training for new hires, fostering integration and effectiveness.Event Planning and Coordination:* Plan and execute institutional events, such as Commencement and community engagement programs, ensuring seamless operations.* Provide logistical support for event planning, including scheduling, communication, and post-event assessments.Collaboration and Communication:* Act as a liaison for students, faculty, and staff, addressing inquiries and connecting individuals to appropriate resources.* Cultivate relationships with local, state, and national organizations to support institutional objectives and professional collaborations.Key Expectations* Demonstrate consistent reliability, punctuality, and presence for all responsibilities.* Exhibit a proactive approach to assignments, ensuring deadlines are met with high-quality outcomes.* Maintain a professional demeanor that fosters trust and reflects the college's values.* Uphold confidentiality and discretion in all aspects of the role.Qualifications* Associate's degree or equivalent experience in administrative support, office management, higher education, or a related field.* Demonstrated expertise in Microsoft Office Suite, Power BI, and office technologies.* Strong verbal and written communication skills, with the ability to compose professional correspondence and reports.* Understanding of Title IX, compliance standards, and higher education regulatory requirements.* Proven ability to manage multiple priorities in a fast-paced environment.* Availability to work evenings and weekends as needed.Work EnvironmentThe position operates within a dynamic collegiate environment, requiring interaction with students, faculty, staff, and external partners.
