Job Description Pay Grade: H (General Summary): Job Description (General Summary): Under broad supervision, performs a wide range of office administration duties for assigned functions or program areas, duties may be complex in nature and may involve access to confidential information. May research, investigate, and/or resolve program data or issues. Drafts documentation, reports, or presentations. Represents program or unit, provides information and assistance to internal and external customers. Primary Duties and Responsibilities:
- Manages routine administrative functions for the agency/office, such as travel expenses, car rentals, leases, vendors, contracts, telecommunications, building security, purchasing, billing/credit, inventory, property control, etc.
- Provides administrative support to assigned area
- Provides assistance and problem resolution to claimants, employers, staff, other agencies, and/or the general public
- Provides program, administrative, and/or technical assistance and interpretation to customers and staff, research and resolve detailed program or client issues/questions and prepare required documents
- May represent the manager in various matters and/or serve as a lead worker
- May train subordinate staff in proper procedures of day-to-day operations
- Performs job responsibilities with minimal supervision
Minimum Qualifications
- Associate's degree from an accredited college or university AND Two (2) years of related experience.
OR
- Four years of related experience.
Preferred Qualifications: Preference will be given to candidates who, in addition to meeting the minimum qualifications, demonstrate some or all of the following skills/experience:
- Associates degree from an accredited college/university AND 2 years related experience as an executive assistance OR 4 years related experience as an executive assistant
- Must be able to multi-task in a high functioning work environment
- Must have customer service skills
- Must have knowledge of all Microsoft Office Platforms, especially Word, Excel, and Publisher as well as knowledge of Office365 Suite, to include SharePoint and TEAMS
- Must be able to adapt to various situations and needs to remain professional
