Salary : $46,920.00 AnnuallyLocation : Wenatchee, WAJob Type: Full-timeJob Number: 2024-00050Department: FoundationOpening Date: 11/21/2024Closing Date: 12/19/2024 4:00 PM PacificJob Summary The position provides primary, confidential, and administrative support to the executive director of the WVC foundation (ED). The assistant works with the ED to produce and monitor the foundation budget, serve as a liaison between the foundation board and the executive director, manages workflow and special projects, and ensures critical processes and services are maintained and delivered. This position requires a strong customer service orientation, tact, and a commitment to diversity, equity, and inclusion practices. Essential Functions
  • Provide confidential administrative support for the ED and other foundation staff.
  • Budget development by gathering data on spending patterns and compiling future needs requests from various staff members. Develop cost estimates for staff, equipment, and supplies. Monitor and control budget status and expenditures.
  • Maintain credit card and purchasing card (PCard) custodian duties for the ED and other staff as assigned.
  • Prepare background information in preparation of ED's professional commitments. Keep ED's calendar and establish priorities.
  • Make travel arrangements and prepare travel documents, coordinate arrangements for meetings at destination.
  • Screen, prioritize and distribute mail; screen and prioritize ED's email and mail.
  • Serve as liaison between the ED with various constituents.
  • Perform complex tasks on word processing, graphics, statistical spreadsheets, PowerPoint presentations, and database work. Stay current with computer technology applications and software.
  • Interpret and apply internal administrative policies consistent with goals, objectives, and policies of the foundation and the college.
  • Manage database files and correspondence with donors and volunteers in a manner that builds relationships and feelings of affinity for the WVC Foundation over time
  • Process address updates and other information into appropriate database software in a timely manner, on a regular basis
  • Provide coverage for foundation staff duties when appropriate, i.e. processing invoices, assistance at foundation events, attending meetings as representative, etc.
  • May supervise and direct the work of assigned staff to ensure efficiency, harmony and service to donors, volunteers, students, and faculty.
  • Provide administrative support to the foundation board of directors.
  • Develop, seek input for and distribute agendas, prepare meeting spaces, and take accurate and timely minutes.
  • Prepare drafts of documents (e.g. policies, procedures, etc.), manage files, update website, and coordinate activities and information for appropriate board activities.
  • Work with other foundation staff, college departments, and community organizations on special projects as needed.

  • Associate's degree from an accredited institution OR two years of recent administrative support or managerial work experience.
  • Two years of increasingly responsible office experience, including fiscal and budgeting experience or equivalent education/experience.
  • Proficiency with word processing and spreadsheet software (Office 365, Word and Excel preferred).
Preferred Qualifications:
  • Experience with customer relationship management (CRM) and SharePoint software
  • Experience creating digital content such as social media and web management system content as appropriate to the role.
  • Bilingual/bicultural, Spanish and English.

  • Demonstrated ability to use exceptional communication and interpersonal skills demonstrating professionalism, empathy, diplomacy, discretion and integrity in interactions with diverse constituencies.
  • High level of proficiency and accuracy in software packages including word processing, spreadsheets and database applications.
  • Quality: Accurate and thorough, prepare detailed reports, evaluate processes to identify ways to improve and promote quality.

Additional Information Terms of Employment:The current vacancy in the WVC Foundation is a full-time overtime and benefit eligible position expected to begin as soon as possible. The starting salary is $46,920 annually with periodic increases and earning potential to $55,584. The list established by this recruitment will be active for a minimum of three months and be used to fill this position only. Your paycheck is just part of the total compensation package.   • Work hours are generally 8 a.m. to 5 p.m., Monday through Friday; hours and days may change depending on the needs of the college. Work in a busy office environment with frequent interruptions and distractions. Regular and consistent attendance required.
