The Administrative Assistant for the School of Business is responsible for offering general administrative support to department Chairs, Program Directors, and Faculty, assisting with daily operations and collaborating with others across the school and College.
Essential Job Functions & Responsibilities:
* Clerical and administrative support for School of Business Programs, including answering the telephone, classroom reservations, gathering book orders, filing, correspondence, and routine administrative processing
* Communicate with prospective students regarding program information
* Responsible for managing the department reception area, including addressing in-person inquiries, answering phone calls, and responding to emails in a timely manner
* Process textbook orders for each semester and troubleshoots as needed
* Maintains databases for assignments and payroll
* Responsible for mailing to students, faculty, leads, applicants, and letters of inquiry
* Maintains inventory and ordering of supplies
* Filing, photocopying, and other related clerical tasks
* Maintains faculty schedules and changes for each semester
* Manages resources effectively to meet established short and long-term goals
* Completes assigned tasks and projects efficiently, focusing on attention to detail while meeting designated deadlines
* Participate in the department's performance improvement activities
* Maintains confidentiality in the management of information
* Interact with customers and colleagues to resolve issues using a professional, customer service-focused approach
* Communicates and/or implements innovative ideas to develop the department and proactively identify and address challenges. Initiates actions independently to address and prevent issues, supporting the vision, mission, and objectives of the department and organization
* Collaborate with colleagues and other departments to accomplish established goals using an inclusive approach
* Responsible for maintaining the department's social media account, creating posts, and interacting with users
* Identifies learning opportunities and utilizes learning resources as needed
* Identifies and reports gaps in policies and procedures to management
* Prepare statistical data and reports as requested by program directors and department chairs and other school leaders
* Engages and provide adequate support to students and alumni to ensure an optimal academic experience and maintain a dynamic alumni community
* Performs other duties and projects as assigned working under the supervision of the Director of Operations including planning events, open houses, orientations, and room reservations and ensuring that resources are adequately allocated
Qualifications
* One to two years'of experience in administrative work supporting professional services
* Knowledge of office administration procedures
* Demonstrated interpersonal, written, and oral communication, analytic, problem-solving, organizational, decision-making, and presentation skills
* Strong computer proficiency in MS Office, including Excel, Word & PowerPoint, Outloook and Internet required. Experience with Banner, Slate, Argos preferred
* Ability to learn new systems and processes is required
* Demonstrated evidence of detail orientation, accuracy, effective verbal, listening, and written communication skills, and time management required
* Understands the requirements of the job as stated by this job description
* Ability to work independently and manage the level of responsibility required
* Knowledge of Banner is preferred
* Located onsite in the Manhattan Campus and other campuses as may be required

The Mercy University Retirement Plan is comprised of two components:
Deferred Compensation Plan
All eligible employees may contribute to the Deferred Compensation Plan on a pre-tax basis upon joining the University.
Defined Contribution Plan
Eligible employees are enrolled in the Defined Contribution Plan after two (2) years of full-time employment at Mercy University and receive a semi-monthly contribution from the College, based on age and salary. If an employee is under age 36, they will receive a contribution of 3.3% of their annual salary each pay period. If an employee is age 36 or older, they will receive a contribution of 9% of their annual salary each pay period.
If employed full-time for two (2) or more consecutive years by another institution(s) of higher education (college or university), without an intervening break in service within the last twelve (12) months prior to employment before joining Mercy, please submit a waiting period waiver form to Office of Human Resources. The Defined Contribution will begin as of the first day of the month following receipt of the completed waiver form.
