Established in 1980, the Greater Lawrence Family Health Center (GLFHC) is a multi-site mission-driven non-profit organization employing over 700 staff whose primary focus is providing the highest quality patient care to residents throughout the Merrimack Valley. Nationally recognized as a leader in community medicine (family practice, pediatrics, internal medicine, and geriatrics), GLFHC has clinical sites throughout the service area and is the sponsoring organization for the Lawrence Family Medicine Residency program. GLFHC is currently seeking an Administrative Assistant and Invoicing Specialist. The Administrative Assistant and Invoicing Specialist provides administrative, organizational and clerical support to the Pharmacy and Information Services departments.In accordance with risk reduction procedures and supplier requirements, audits and processes invoices and backup.

  • Records, transcribes and distributes meeting minutes.
  • Schedules and arranges conferences, interviews, evaluations and meetings.
  • Establishes and maintains an organized filing system.
  • Answers phones and distributes messages.
  • Opens, reviews and distributes incoming mail. Coordinates all outgoing mail.
  • Facilitates and maintains records for pharmacy credential and licensing.
  • Maintains and distributes pharmacy and IS staff database of information.
  • Orders and maintains office supplies and equipment.
  • Maintains accurate purchase order book.
  • Processes accounts payable.
  • Audits vendor invoices and backup and provides supporting documentation.
  • Researches and resolves discrepancies and issues on vendor billing.
Qualifications
  • Bilingual (English/Spanish)
  • High School Diploma or equivalent
  • Three to five years of administrative support experience
  • Proficient in Microsoft Office software products
  • Excellent interpersonal, communication and attentive listening skills
  • Strong organizational skills, detail oriented
  • Demonstrated ability to work in a fast paced, multi-task environment
