Position Summary:

The primary responsibility of the Administrative Assistant is to support the daily operations of the Contract Administration/Risk Management Department. This includes performing diversified duties such as record updating, document uploading, purchase orders, scanning and any support to the Contract Administration Coordinators.

document uploading, purchase orders, scanning and any support to the Contract Administration Coordinators.

Essential Functions/Position Responsibilities:

* Adhere to and promote all Company Safety Policies and the Company Code of Conduct.

* Management of the subcontractor prequalification process.

* Correspondence with project team members for signature and execution of purchase orders, subcontracts and

change orders.

* Updating of vendor compliance to avoid payment procedure interruption.

* Support to Contract Administration Coordinator II with Certificates of Insurance.

* Responds to inquiries and assists in the resolution of operational issues relating to compliance, prequalification,

and AP.

* Create overhead purchase orders.

* Performs general administrative duties including but not limited to preparing documents, maintaining

spreadsheets, and scanning.

* Performs general administrative duties in support of division objectives.

* Schedules and coordinates meetings and other events for the division.

* Compose reports, letters and memos for supervisor's review and signature.

* Performs other miscellaneous duties and responsibilities as required.

Hiring Requirements:

* High School diploma or equivalent including courses in business administration.

* 2 years of experience in administration desirable. Education may be substituted for experience.

* Demonstrated construction experience or understanding is a plus.

* Ability to multi-task and handle changing priorities in a fast-paced work environment.

* Excellent communication skills required; excellent interpersonal and organization skills mandatory.

* Possess a disciplined attitude regarding processes and procedures.

* Demonstrated competency with all components of Microsoft Office software applications and proficiency with other software applications.

* Professional, able to maintain confidentiality of sensitive information.

* Ability to pass a pre-employment drug screen.
