* POSITION SUMMARY:

* The Administrative Assistant serves as Assistant to the Vice President of Community Services/Executive Director of the Finger Lakes Health Foundation and provides a wide range of administrative support to the Vice President and day-to-day office management for the Community Services and Foundation Departments. Applies independent judgment in interactions with customers and the general public in handling inquiries and resolving concerns. Responsibilities include: Coordinating with Vice President to ensure optimal use of time for scheduled appointments/meetings/administrative responsibilities, and maintaining organizational event calendars. The Administrative Assistant must have excellent abilities in assessing priorities and managing competing demands and work in a time-sensitive manner. The Administrative Assistant prepares clean, well-written memos, minutes, and other correspondence; Maintains electronic and paper files for the Vice President and both departments; Prepares and organizes materials needed by the Vice President for meetings and projects; Receives, sorts, and distributes internal and external mail; Greets visitors and answers telephone calls; Develops and maintains spreadsheets such as the media log, restricted funds and event registrations; manages accounts payable; serves as the office manager; Maintains supply levels; Troubleshoots with office equipment; and develops departmental systems and processes. The Administrative Assistant prepares and distributes meeting agendas and minutes; Coordinates meeting logistics; Maintains corporate board records for FLH Foundation; and provides support for Community Advisory Committee and Finger Lakes Health Foundation Board. The Administrative Assistant processes all gifts in the foundation; maintains records in Raiser's Edge, generates acknowledgments and receipts, and works with Finance department on financial reporting. The Administrative Assistant serves as a member of the Foundation and Community Services teams, and as such, supports and staffs events, community outreach programs and educational partnerships i.e., Community Events, Foundation fundraisers, health screenings, donor events, etc.

* EDUCATION:

* Minimum:

* Associates Degree with emphasis on business office practice required (will consider experience in lieu of degree).

* Preferred:

* Bachelors Degree

* LICENSE:

* PROFESSIONAL CERTIFICATIONS:

* WORK EXPERIENCE:

* Minimum:

* 3 years Administrative Assistant experience.

* Preferred:

* Prior experience work in a Community Service, Marketing and/or healthcare environment

* SKILLS:

* Minimum:

* Requires a professional and sensitive manner with patients, visitors, system employees, customers and media.

* Must possess strong communication skills, written and verbal and the ability to handle confidential information with discretion.

* Must deal tactfully and professionally with public, including the media.

* Must be self-motivated and able to work without close supervision.

* Requires strong organizational skills to coordinate the activities of the Vice President of Community Services, the Community Services Department, and the Foundation Department.

* Position requires solid abilities in analysis, problem-solving, and decision-making.

* Requires flexibility and occasional evening/weekend hours.

* Must be able to prepare spreadsheets, presentations, and professional business documents.

* Must be able to utilize donor database software to process, acknowledge, and receipt gifts.

* Preferred:

* Experience with Microsoft Office products including Word, Excel and PowerPoint.

* Experience with Raiser's Edge software is preferred.

Salary Range: 21.58-23.84
