Summary:
The ECC Administrative Assistant supports the ECC Medical Director and Assistants, Director of Inpatient Practices, and Manager of ER and Med Express Providers including but not limited to: clerical functions, word processing, maintenance of records, systems support and scheduling.
The Administrative Assistant demonstrates excellent customer service performance in that his/her attitude and actions are at all times consistent with the standards contained in the Vision, Mission and Values of Covenant HealthCare and the commitment to Extraordinary Care for Every Generation.
Responsibilities:
Performs general receptionist duties such as answering the telephone and greeting individuals who enter the office.
Serves as primary clerical support for the ER physicians and physician assistants in their daily administrative duties.
Assist Medical Directors and Manager with regular reports from EPIC, bonus metrics, wRVU data and chart reviews
Sets up regular meetings, creates agendas, and coordinates tele-conference calls, takes minutes and provides support for meetings.
Receives and distributes physician departmental mail
Coordinates and maintains calendar for office functions and interviews with potential physician candidates
Provides clerical support for Director of Inpatient Practices
Completes all requests for information and physicians signatures received
Works collaboratively with the Medical Staff Office to schedule tours, facilitate meet and greets with ECC Physician leadership
Orders and maintains Physician office supplies, forms, business cards, lab coats, scrubs, pagers etc.
Assists the ECC Medical Director, Assistant Medical Directors and Physician Recruiters in the administrative flow of recruitment of physicians to the group.
Supports welcome and inner-office training for newly hired physicians.
Provides data entry/secretarial support for computer systems and databases
Responds to all incoming calls for physicians from families, insurers, hospital staff, pharmacies and referrals.
Works to maintain personal but professional relationships with departmental physicians while maintaining confidentiality and respect for cultural differences.
Collaborates daily with ECC department and nursing administrative support and clerical staff. Partners and provides necessary services to provide support for all ECC physician activities and overall department activities.
Serves as overall point person for ECC and Med Express providers to troubleshoot and support a wide range of needs and requests daily.
Assist with monthly schedule development for ER and Med Express, as needed
Other information:
EDUCATION/EXPERIENCE
Associates degree in business, office management, health sciences, or related healthcare field or equivalent experience.
A minimum 1 year experience in medical secretary or administrative office experience.
Experience working with physicians and/or APPs preferred.
KNOWLEDGE/SKILLS/ABILITIES
Exceptional written, verbal, composition, and communication skills.
Excellent organizational skills.
Able to accurately type 40 WPM
Strong computer skills with word processing, e-mail, electronic calendars, databases, and spreadsheets.
Meeting minute-taking and transcription
Knowledge of Medical Terminology
Ability to work in a team environment in a collaborative manner.
