Job Description :
This position will perform office management and administrative duties at the company's corporate office. Additionally, this position will provide support to the senior leadership team and others, by completing clerical and administrative functions. This is an in person, full-time hourly position with work hours estimated to be 8:00AM to 4:30PM.DUTIES AND ACCOUNTABILITIES:
  • Perform basic administrative tasks such as copying, filing, and mailing as requested by senior leadership team.
  • Perform office management duties including oversight of building needs, liaison with building vendors, inventory and purchasing of breakroom and office supplies.
  • Assist in coordination of event planning, including facilitation of travel, catering, hotel reservations, etc. Ensure meeting rooms are set-up with appropriate equipment, materials, and supplies. Order and set-up food and beverages. Test and assist with technology required for meetings. Clean up after meetings.
  • Organize community involvement events.
  • Coordinate the corporate mailing program as well as act as primary liaison between the company and mail/parcel delivery vendors. Manage incoming and outgoing mail and deliveries.
  • Coordinate usage of fleet cars, toll passes, and maintenance requirements.
  • Perform special projects as assigned for the CFO, CEO, President and General Counsel.
REQUIRED KNOWLEDGE, SKILLS AND ABILITIES:
  • Proficient in Microsoft Office products.
  • Extremely organized. Strong multitasking and time-management skills
  • Ability to maintain confidentiality when dealing with sensitive information.
  • Excellent professional writing and business communication skills.
  • Work closely with others and share workload in a cooperative team environment.
PREFERRED EDUCATION AND EXPERIENCE:
  • A two-year degree is required. An equivalent combination of education, training and/or experience may be considered in lieu of a degree.
  • At least 3 years administrative experience, preferred.
  • Experience with commercial real estate transactions, preferred.
PHYSICAL CAPABILITIES AND REQUIREMENTS:
  • Ability to sit for extended periods of time at a desk, typing on a computer, and talking on the phone.
  • Must be able to access and navigate each department at the organization's facilities.
  • Ability to repetitively twist or turn; stand, climb, kneel, stoop, and squat, as needed.
  • Required to wear Personal Protective Equipment (PPE) and follow the dress code guided by the company.
