Administrative Assistant, Field Experience & Internship, Teacher Education Services (TES)Closing Date: Job Duties:The Administrative Assistant for Field Experience and Internship position is responsible for a variety of activities related to field experience placement and student intern placement. This position reports to the Director of Teacher Education Services & Certification.ESSENTIAL FUNCTIONS:
- Organization/maintenance of contact log for FE placement and Internship contracts
- Work with FEI Coordinator in the organization/preparation of instructor led FE assignments
- Record/Maintain Intern Supervisor Travel Expense Forms
- Maintain/Record FE Verification Forms and Internship Attendance Forms
- Set up/maintain student placements, including drop/add, in Banner for Field Experience and Internship
- Create reports through ARGOS database
- Assist in organizing and scheduling Internship Seminar and Field Experience activities
- Provide to faculty a listing of student intern(s) and school assignment(s) each semester
- Email student & school assignments to faculty each semester
- Assist with questions from student, faculty and supervisors regarding Internship Blackboard course
- Demonstrate flexibility and adaptability to changing work scope and tasks based on need
- Actively work towards building cooperative and collaborative relationships with peers and internal faculty and staff
- Maintain “open door” to internal and external customers
- Identify opportunities for improvements to work practices and offer viable solutions for implementation
- Proactively engage in problem-solving related to tasks in this position with internal and external people
- Routinely practice self-monitoring by assessing self to make improvements or take corrective action to improve performance
- Complete other tasks as assigned
Required Qualifications:QUALIFICATIONS REQUIRED:
- High School diploma or its equivalent required; Bachelor's degree preferred
- Ability to understand oral and written instructions required
- Computer knowledge and experience required
OTHER QUALIFICATIONS AND JOB REQUIREMENTS:
- Experience in using Banner and Excel preferred
- Experience with database software and Argos preferred
- Ability to organize and work independently
- Ability to communicate effectively and establish and maintain positive working relationships
WORKING CONDITIONS:
- Must be able to remain in a stationary position such as standing and/or sitting for a prolonged period of time
- Frequently tasked with filing which may require low postures such as crouching, kneeling, and/or stooping
- Must be able to occasionally adjust or move objects up to 25 pounds in all directions.
- This position requires constant communication with others to exchange information
- Frequently uses hands/fingers to operate a computer and other office productivity machinery, such as copier, printer, etc.
- Occasionally tasked with operating a motor vehicle to travel for university business
- Frequently uses near vision for use of computers and reading small print
