Position Title: Administrative Assistant for Marketing and Communication FTE: 1.0 (40hrs./week; 12 months) Department: Marketing and Communications Reports To: Assistant Vice President for Marketing and Communications FLSA: Non-Exempt
This position promotes and supports the learning experience of Marian University students by, providing administrative assistance and performing a variety of clerical duties for the Assistant Vice President for Marketing and Communications and the Office of Marketing and Communications. This is an active department that collaborates across all departments at the university and engages in storytelling through advertising, marketing, media relations, social media promotion, and more.
Essential Functions:
* Serves as main contact for the department from internal and outside entities. Responds to requests from internal and external sources for information, content, photos, video footage, logos and other special requests.
* Maintains schedules for advertising, social media, public relations/editorial, and events. Tracks key university events, guest speakers, and special announcements.
* Gathers information and images for the creation of event programs, brochures, reports, flyers, marketing materials and special projects like the Annual Report.
* Coordinates with graphic designer in requests for flyers, brochures, and other materials.
* Proofreads programs, brochures, marketing materials, press releases, web content and other correspondence.
* Assists in university events including pre- and post-event publicity, invitations, and the scheduling of student or professional photographers and video shoots.
* Responsible for website support, including fielding content change requests and assisting with content planning. Maintaining directory information and photos. Scheduling and processing individual photos as needed.
* Helps to prepare media releases and maintain media contact lists.
* Responsible for standard office procedures including scheduling meetings for Assistant Vice President for Marketing and Communication, processing mail, answering telephones, and maintaining Marketing and Communications files.
* Collects and organizes stories, testimonials, and photos from alumni, students, staff and faculty. Gathers recommendations from various departments for stories and features.
* Prepares documentation and pays departmental invoices and bills in coordination with the Business Office.
* Maintain Award Boards with names of staff, faculty, students or alumni recognized for annual awards and honors.
* Maintains a positive work environment by cooperating in a professional manner with the Marian community.

Education, Experience, and Skills Required:
* A Bachelor's Degree is preferred, or at least an Associate's Degree - in Marketing, Communications, Public Relations, or English preferred. Three years of office experience. A combination of education and experience may be considered.
* Knowledge of modern office practice and procedure and office equipment and machines.
* Computer literate and skilled in Microsoft Office.
* Strong organizational skills, including time management, and attention to detail.
* Strong communication and interpersonal skills, including in-person, by phone, email and texts.
* Ability to work with a diverse group of faculty, staff, students and alumni as well as the general public and other stakeholders.
* May require the ability to type.
* Ethical comportment and high regard for confidentiality.
