Job Description :

Heritage Pointe is seeking a highly organized and compassionate Administrative Assistant to join our team. The Administrative Assistant will play a critical role in ensuring the smooth operation of our community by providing excellent administrative support and customer service to residents, families, and staff.This position will provide administrative support, ensure smooth front desk operations, and deliver exceptional customer service while being the welcoming face of Heritage Pointe of Fort Wayne. Responsibilities:

  • Greet and assist residents, visitors, and staff with a warm and welcoming attitude.
  • Answer and direct phone calls, manage incoming and outgoing mail, and handle correspondence.
  • Maintain and organize resident files, records, and other important documents.
  • Assist with billing, invoicing, and other financial administrative tasks.
  • Assist with coordination of events and activities within the community, ensuring all logistics are managed efficiently.
  • Order and manage office supplies and ensure the office environment is clean and organized.
  • Perform other administrative duties as assigned to support the overall operation of the community.
Qualifications:
  • High school diploma or equivalent.
  • Proven experience as an administrative assistant, office admin assistant, or in another relevant administrative role.
  • Proficient in Microsoft Office Suite and Google products.
  • Excellent written and verbal communication skills.
  • Strong organizational skills with the ability to multi-task and prioritize work.
  • Compassionate and patient demeanor, with a genuine interest in working with the elderly.
  • Ability to maintain confidentiality and handle sensitive information with discretion.
