Job Description :

Job Objective: Provide administrative support for the Divisional Director of Gift Planning and Gift Planning Advisor(s) through their contacts with donors and professional advisors and communications received through correspondence, e-mail, phone and reports.

Essential Functions:

  • Provide administrative support to Divisional Director of Gift Planning and Gift Planning Advisor(s)
  • Prepare and dictate contact reports and/or correspondence for staff activity with donors
  • Record contact activity and other tasks on CRM database
  • Prepare reports as requested
  • Maintain gift log and tracker reports for quarterly report to territory headquarters
  • Serve with assigned staff on planning events, promotion, and donor visits
  • Keep updated written working procedures for dictation, correspondence, gift processing, report preparation, and database management
  • Additional administrative functions as assigned

Minimum Qualifications:

Education: High school diploma or equivalent; some post-secondary education preferred

Experience: Minimum three years' administrative assistant experience; experience with SalesForce, Excel, Word, event coordination/planning at multiple sites, and database management

Certifications/Licenses: None

Skills/Abilities:

  • Reliable, dependable, and able to work independently
  • Excellent verbal and written communication
  • Good writing skills for transcription and composing documents, letters using proper English, spelling, and punctuation
  • Experience with Microsoft Office, database, and e-mail software, fax, scanning and printing
  • Ability to type minimum 50 words per minute
  • Ability to shift between responsibilities and prioritize workload
  • Able to communicate in writing and by phone in a professional manner with donors
  • Ability to work with both internal staff and external constituents in a courteous manner
  • Ability to problem solve and provide recommendations for office procedures and situations
  • High integrity and good personal judgment; trustworthy in working with confidential documents and donor information

Supervisory Responsibility: None

Physical Requirements: Include speaking, hearing and vision; manual dexterity; sitting up to 7 hours per day; standing up to 1 hour per day; walking, bending, squatting; lifting, pulling and pushing materials up to 25 pounds. Working Conditions: Work is performed in a typical office environment; Monday - Friday; no evening or weekend work.
