You can build your future here!THE OPPORTUNITYAdministrative Assistant - Human ResourcesThe Human Resources Administrative Assistant will provide general administrative support to the HR department. This is a full-time, on-site position at our corporate office in Reserve, Louisiana. This role will be responsible for performing administrative and other clerical duties in an efficient and confidential manner. This position is best suited for someone with a proven ability to handle multiple projects simultaneously while keeping accurate and timely records. The Administrative Assistant must have excellent interpersonal and customer service skills with a strong sense of urgency to accomplish assigned duties.This position is perfect for an individual who is passionate about delivering exceptional service, thrives in a collaborative and dynamic environment, and is eager to grow their career in the HR field. With a clear pathway for advancement, this role offers the opportunity to progress into a Recruiter position for those who demonstrate the drive, dedication, and capability to excel.RESPONSIBILITIES
  • Coordinate Post-Offer Testing: Schedule, monitor, and compile results of post-offer testing appointments.
  • Background Check Administration: Input and track the status of background checks, ensuring timely completion.
  • New Hire Communication: Share start date details with new hires and hiring managers and act as a point of contact during post-offer and pre-boarding process.
  • Process Organization: Maintain a centralized, organized overview of the post-offer process for easy reference and updates.
  • Pre-Boarding Support: Initiate and manage the pre-boarding process for all new employees, guiding them through required tasks to ensure a smooth transition, including completing the I-9 verification and E-Verify process.
  • Data Management: Ensure the accuracy and integrity of data in the Applicant Tracking System and new hire records.
  • Inbox Management: Oversee and respond to inquiries in a shared HR email inbox promptly and professionally.
  • Employee Engagement: Support employee recognition efforts by documenting and organizing relevant materials.
  • New Employee Orientation: Provide assistance with booking hotels, printing new hire badges, and fork lift cards.
  • Offboarding Support: Prepare final paycheck letters, COBRA input, and organize employee files for storage during the offboarding process.
  • Administrative Tasks: Perform general duties such as invoice coding, filing, and record-keeping. Assist with periodic audits of HR files and records to ensure that all required documents are collected and filed appropriately.
  • Confidentiality: Uphold strict confidentiality regarding all Human Resources information to maintain employee trust and operational integrity.
  • Additional duties as assigned.
QUALIFICATIONS
  • High School Diploma; Associate's Degree preferred
  • Two or more years of administrative experience
  • Preference will be given to individuals with related training and/or experience of an HR or clinical nature
  • Strong data entry accuracy and computer skills
  • Organization and attention to detail is a priority in this role
  • Well-developed communication skills, both written and verbal
  • Advanced skills in Microsoft Office - Excel, Word, and Outlook
  • Proficient with or the ability to quickly learn payroll management, human resource information system (HRIS), and similar computer applications. Prior experience working with Paylocity a plus!
