Job DescriptionDue to the growth of our organization, Costanzo Financial Group, a firm-owned, locally managed region of Cetera Financial Group, is seeking an Administrative Assistant to joining the office team. This is a unique opportunity to join an established, long-tenured, growth-oriented team, developing (or continuing the development of) your experience within the Financial Services industry. The company will be looking for candidates that will be hybrid remote and in office based out our Wexford, PA location (Pittsburgh, Western PA). What you will do:
  • Answer phones in professional and courteous manner and route client service inquiries
  • Schedule client appointments and meet annual review scheduling metrics
  • Prepare conference room for office appointments and greet clients upon arrival
  • Print and assemble presentations for office appointments
  • Schedule internal meetings for team
  • Manage internal calendar
  • Review incoming mail and route to team
  • Print and assemble outgoing mailings for team
  • Prepare and mail paperwork to prospective clients
  • Overnight incoming investment checks to financial institutions
  • Scan and upload documents to digital document management system
  • Route incoming faxes and send outgoing faxes
  • Input and manage client data in CRM system
  • Assign incoming client withdrawal requests to team
  • Complete data entry for compliance logs
  • Maintain office inventory and order office supplies for team
  • Provide general administrative support to financial advisors and Operations Team
  • Perform research and provide support on data gathering and internal projects
What you need to have:
  • Bachelor's Degree
  • 5+ years of experience working in administrative/client-service focused position(s)
  • 5+ years of experience working with PCs and Microsoft Office programs

Compensation: The base annual salary range for this role is $50,000 to $60,000, plus a competitive performance-based bonus. Base annual salary depends on a wide array of factors, including but not limited to skill set, years and depth of experience, certifications, and location.
