Job Description: We are seeking a highly organized and detail-oriented Administrative Assistant I to join our team. The successful candidate will provide administrative support to our financial planners and tax professionals, ensuring smooth and efficient office operations.

Primary Responsibilities:

  • Greet clients and visitors, providing a warm and professional welcome.
  • Answer, screen and direct phone calls, taking messages as needed.
  • Schedule and manage appointments and meetings for staff.
  • Maintain and organize client profiles and files, ensuring confidentiality and accuracy.
  • Assist with follow-ups and providing technical support to gather client information, unpaid invoices and documents needing signatures.
  • Manage office supplies and ensure break areas are clean and well-stocked. This includes washing coffee cups and maintaining the coffee station to provide a welcoming atmosphere for staff and guests.
  • Handle incoming and outgoing mail and deliveries.
  • Perform other administrative tasks as assigned to support the team.

Qualifications:

  • High school diploma or equivalent; associate's or bachelor's degree preferred.
  • Proven experience as an administrative assistant or in a similar role.
  • Proficiency in Microsoft Office Suite, Google Suite, and DocuSign.
  • Experience with client relationship management software.
  • Excellent organizational and time-management skills.
  • Strong attention to detail and accuracy.
  • Excellent written and verbal communication skills.
  • Ability to handle confidential information with discretion.
  • Customer service-oriented with a professional demeanor.
