Posting Details Position Information Position Title Administrative Assistant I Job Type Staff Position InformationDepartment of the Built EnvironmentUMES Career and Technology Education satellite office located at the Baltimore Museum of Industry (BMI).The Career and Technology Education satellite office invites applicants to apply for a part-time (18 hours weekly), nonexempt, contractual, twelve-month position with no regular benefits. The position reports to the Program Director/Coordinator. This position includes regular interaction with various departments on the main campus for student assistance and inclusion of current procedures. Hourly Range: $18.57-$29.65. The hourly rate will be commensurate with experience and qualifications. Responsibilities
- Guide students through scheduling, registering, and making payments for courses.
- Collects and reports data for enrollment and completion is required along with updating the website information as needed.
- Edits, formats, and revises a variety of documents and materials created by others.
- Proofreads for grammatical, typographical and basic content errors.
- Composes responses to routine inquiries in accordance to general instructions
- Maintains paper and electronic filing systems which meet department needs and satisfy requirements for retention and information security. Enters, updates, and retrieves information as needed.
- Screens telephone calls and visitors. Schedules and coordinates meetings and appointments.
- Makes travel arrangements following general instructions and campus procedures.
- Performs necessary follow-up for vouchers, expense reports, and reimbursements.
- Initiate requisitions, disbursement vouchers and purchasing orders, collaborating with procurement, accounts payable, IT, and physical plant.
- Orders supplies as needed.
- Preparation of reports, databases and other documents, such as those related to VISA purchases and monthly reconciliations using the University Financial System.
- Maintain the confidentiality of program information and records.
- Performs other related duties as assigned.
Classification 43-0000 Office and Administrative Support Occupations Required Qualifications
- High School Diploma or GED
- Two years' experience providing administrative support
- Knowledge of Microsoft Office Suite and other business software applications.
- Must be organized and detailed oriented.
- Must possess excellent customer service skills.
Preferred Qualifications
- Experienced professional with a teaching and/or administrative background related to Career & Technology Education (CTE) or Technology and Engineering (T&E) education who would like the opportunity to assist pre-service and in-service educators in pursuing undergraduate and graduate CTE related coursework.
- Knowledge and/or experience working with Maryland school systems.

- General knowledge of and skill in the practical application of generally accepted office practices and procedures.
- Ability to communicate effectively both orally and in writing.
- Ability to proofread and edit written documents.
- Ability to interact effectively with internal and external parties in a courteous and efficient manner.
- Ability to plan, organize, prioritize, and execute multiple and continuing assignments with general instructions.
- Ability and willingness to learn Canvas, Dropbox Sign, Word Press, and Adobe Acrobat.
