We have an exciting opportunity for an Administrative Assistant! The Administrative Assistant will report directly to the Engineering Manager and will perform administrative duties for the engineering team where responsibilities of trust and confidence are important.RESPONSIBILITIES AND DUTIES:
  • Enter requisitions, receive, and process invoices in SAP. Assist in processing payments for the engineering department.
  • Gathers information and prepares company reports, documents and exhibits including, but not limited to, monthly highlights, Board reports, business development proposals, Capital Investment Plan and Master tariff.
  • Handles monthly communication with developers regarding project deposit balances.
  • Prepares letters and memos for department.
  • Makes appointments, travel arrangements and maintains expense reports.
  • Maintains general office files, inactive stored files, and confidential office files. Track all information, regarding capital spending, utility plant in service additions, and other various data as needed.
  • Responsible for keeping the bid information on all contracted jobs.
  • Directs telephone calls and messages. Answers calls from customers, developers, and contractors regarding capital projects, developer mains, and other engineering projects.
  • Coordinates and schedules activities including, but not limited to, meetings and luncheons.
  • Keep office organized and efficient; coordinate building receptionist activities (mail distribution, copying, filing and faxing). Works in conjunction with all staff from Accounting, Management, Customer Service, Distribution, and Production.
  • Handles mail and prepares correspondence and distributes via e-mail, fax, and mail, overnight shipping through postal service or special carrier.
  • Performs other assignments as required.
QUALIFICATIONS:
  • High school diploma or equivalent is required.
  • Associate's Degree is preferred but will consider a minimum of three years of experience in a responsible administrative position.
  • Preference will be given to candidates with a technical/engineering background.
  • Must have excellent computer skills including a high level of proficiency using Microsoft Office Suite (Word, Excel, Outlook, etc.).
  • Must possess exceptional organizational skills and ability to multi-task, prioritize, and meet deadlines.
  • High attention to detail is required, along with excellent verbal and written skills.
  • Must demonstrate the ability to organize and complete multiple activities simultaneously.
  • Candidate must be a self-starter who can operate with little or no direct supervision and have the personality, articulation (both oral and written) and characteristics necessary to communicate effectively with all levels of management, employees, regulatory agencies, government officials, customers, and vendors.
