Salary: $22.70 - $34.34 HourlyLocation : Klamath MainJob Type: Full-Time Non-ExemptJob Number: 202400151Division: Health and Human ServicesDepartment: Tribal CourtOpening Date: 11/21/2024Closing Date: 12/13/2024 6:59 PM PacificDescription POSITION SUMMARY:The Assistant is under the general supervision of the Program Manager. This position performs general clerical support duties for the Yurok Tribal Court programs. The Assistant will respond to inquiries from the general public and provide information as necessary. The Assistant is responsible for accuracy in all applicable procedures, confidentiality, electronic filing, data entry, and serves as the contact person for the division. Examples of Duties DUTIES AND RESPONSIBILITIES:1. Receives and screens visitors, telephone calls and electronic correspondence; responds to inquiries on a variety of matters.2. Schedules and arranges meetings and conferences and notifies interested parties; arranges travel for staff including scheduling transportation and making hotel arrangements.3. May take or transcribe legal dictation, minutes of meetings, and taped records of conferences, meetings, and discussions.4. Prepares material with correct grammar, spelling, punctuation, format, syntax, and content.5. Inputs, retrieves, updates, and deletes information using computerized databases.6. Sorts, opens, logs and distributes incoming mail to staff7. Composes routine letters and memoranda and prepares reports using knowledge of work area instructions and guidelines.8. Maintains daily, weekly, monthly and yearly calendars and schedules.9. Maintain confidentiality and financial security at all times10. Prepare program purchase orders in compliance with procurement policies.11. Purchase and maintain office supplies and equipment inventory.12. Filing and electronic filing of grant and client files.13. Track program expenditures.14. Communication with Fiscal, Human Resources and other departments as necessary.15. Organize and update client files when needed.16. Assist with compiling data for department and federal agency reports.17. Assist with organizing community events.18. Provide program information and brochures upon request.19. Travel when requested for community outreach and training purposes.20. Make travel arrangements for staff to attend meetings, conferences, or other ventures.21. Collect and organize staff time sheets for signature.22. Provide administrative duties directly to the Program Manager, and other staff as needed.23. Performs other related duties as assigned. Typical Qualifications EDUCATION/EXPERIENCE:1. G7: Highschool diploma or GED with four years specified experience.2. Employee must be willing to acquire any special certifications or attend any training that is determined to be relevant or becomes required of the position in the future.3. Candidates with equivalent combinations of education, training and experience will be considered.MINIMUM QUALIFICATIONS:1. Ability to keyboard 40 words per minute.2. Advanced computer skills that include a working knowledge of Microsoft Office and electronic filing.3. Experience working with little or no supervision.4. Advanced knowledge of general office management skills.5. Advanced knowledge of budgets, financial spreadsheets, reporting, policy and procedure, and fiscal processes.6. Ability to set priorities, meet critical deadlines, and review information for accuracy, format, completeness and compliance with the policies and procedures.7. Detail oriented, accurate, organized and able to work independently and as part of a team.8. Perform basic arithmetic calculations.9. Ability to work in a fast paced and team-oriented environment.10. Must be dependable, reliable and trustworthy.11. Ability to maintain strict confidentiality of all court and/or YCSS case files.12. Experience dealing with individuals in crisis including strong customer service skills and the ability to defuse tense situations.13. Ability to establish effective working relationships with the courts, law enforcement, social service agencies and the tribal community/clients.14. Must be culturally sensitive to a diverse customer population and able to interact tactfully and positively with Tribal members, all levels of tribal staff and management.15. Must be and remain impartial to all staff and clients.16. Must have a working knowledge of commonly used office machines and computer software including multiple line telephones, voice-mail, document shredder, computer email, internet, copier, printer and fax machine as used to complete office work tasks.17. Recognition that in order to serve Yurok People one must know as much as possible about Yurok history, culture and values. Supplemental Information SUPERVISORY RESPONSIBILITIES:This position does not have supervisory responsibilities.CONDITIONS OF EMPLOYMENT:1.
