Monmouth University is seeking a dynamic and organized individual to join our team as an Administrative Assistant for the Kislak Real Estate Institute (KREI). The ideal candidate will possess exceptional communication skills, both verbal and written, along with excellent attention to detail and strong time management abilities. They should demonstrate a proactive approach to their work and have the ability to work effectively with University personnel and stakeholders associated with the Kislak Real Estate Institute.

Key Responsibilities include:

* Coordinate and manage administrative tasks related to KREI, including correspondence, scheduling and record-keeping.

* Execute fundraising events and initiatives with strong follow-up skills to ensure their success, including the Leadership Excellence Award Dinner, Golf Outing and more.

* Maintain databases, prepare mailings, and manage invoices for all functions.

This is an in-person, on-campus, non-remote position.

* Two (2) years experience in special events coordination and office administration

* Ability to communicate with University personnel and those associated with the Real Estate Institute on many different levels

* Strong follow-up skills to ensure the success of all fundraisers and events run through the office

* Ability to perform and assist with administrative duties related to the Kislak Real Estate Institute

* Must have a strong sense of self initiative and be able to demonstrate a proactive approach to their work

* Ability to work a flexible work schedule, including evenings and weekends as needed

Implement and manage activities for fundraising events for Kislak Real Estate Institute, including but not limited to: Leadership Excellence Award Dinner, Golf Outing, Case Competition, Stephen Seigel Lecture Series and Career Night.

Regular or Occasional Regular Duty

Provide excellent customer service to students, supervisors, other University personnel and parents via phone or in person. Assist with general questions for the department. Take messages and route callers/students to appropriate service areas for assistance.

Regular or Occasional Regular Duty

Work with University Advancement, Facilities Management and other University Departments regarding any needs for Real Estate Institute sponsored events.

Arrange and confirm meetings. Provide logistical support such as travel arrangements, room scheduling, audio/visual and food ordering.

Perform all administrative tasks related to the Kislak Real Estate Institute, providing general administrative support, to ensure the smooth operation of the Institute's activities. Perform clerical duties for the department including but not limited to preparing meeting minutes, agendas, and other correspondence, forms and reports. Sort and distribute mail; and perform photocopying, faxing, and filing.

Coordinate the placement of book orders and obtain complimentary copies of textbooks and associated teaching materials.

Maintain databases for all functions; prepare mailings for all events and programs, including maintaining department filing systems. Prepare and update databases for addresses, communications, syllabi and other forms and documents.

Maintain invoices and adhere to budget - A/R, A/P, billing, collections and purchases.

Assisting with creation of Marketing and/or Promotional Materials. Assist with obtaining and tracking licenses, contracts and various agreements and documents.

Assist in maintaining departmental webpage and portal content.

Order and maintain supplies for department.
