Sanctuary for Families is New York's leading service provider and advocate for survivors of domestic violence, sex trafficking and related forms of gender violence. Every year, Sanctuary empowers thousands of adults and children to move from fear and abuse to safety and stability, transforming lives through a comprehensive range of services. We provide a range of wrap-around services to help survivors rebuild their lives in the aftermath of abuse, and work to end gender violence through three key strategies: direct services, outreach and training, and systems-change advocacy. Our services are available in 12 locations throughout New York City.

Position Overview

Will assist the Director of Administration and Purchasing to ensure the effective and efficient management of the office management and purchasing functions of the agency. Responsible for performing various tasks and duties to assist in the day-to-day upkeep and efficient workflow within the Manhattan Office. Provides morning reception coverage. In the absence of the receptionist provides primary reception coverage.

Responsibilities

  • Receive and distribute ordered items as well as checking against the packing list.
  • Type purchase orders for the Finance Department.
  • Perform data entry of new purchased items into accounting software.
  • Inventory and replenish office supplies and printer toner supply
  • Take inventory of the Food Pantry and orders food, personal care and other related items as necessary.
  • File purchasing and office administration documents including but not limited to: Purchase orders, packing slips, service tickets, work orders and monthly statistic/usage reports.
  • Gather and report monthly copier usage to the Finance Department and photocopier company.
  • Answer front desk telephone and manage incoming calls.
  • Provide information and referral to callers.
  • Ensure clients and other visitors sign-in.
  • Perform any other department or agency related duties or special projects as directed.

Organization Relationships

  • Member of the Operations and Administration team.
  • Works closely with Accounts Payable.

  • Associates Degree required.
  • Minimum of one year work experience in a busy office.
  • Strong verbal and written communication skills.
  • Strong interpersonal skills.
  • Self-motivated.
  • Detail oriented.
  • Familiarity with Microsoft Office, including Outlook, Word and Excel.
  • Familiarity with Fund E-Z software a plus.
  • Fluency in both English and Spanish a plus.

Budgeted Salary: $26.87 - $29.68 per hour ($48,904 - $54,020 annualized); based on relevant experience, pursuant to wage scale in accordance with collective bargaining agreement

Work position is Full-time; Hourly/ Non-Exempt

Work schedule is currently In-person; must be able to meet job location schedule obligations
