Self-motivated, organized, and effective communicator. Given parameters but works with little supervision once trained. Must be able to manage time effectively with frequent interruptions, multi-task, and prioritize work.Essential Duties
  • Greet clients and visitors in professional manner
  • Collaborate with operations on truck treating schedules and routing
  • Review truck treating driver sheets daily
  • Reconcile truck treating driver sheets to BOL's daily
  • Upload truck treating sheets daily to billing software
  • Create monthly driver sheets for truck treating
  • Collaborate with the accounting department to streamline processes
  • Meet all deadlines as required by accounting department
  • Create and edit documents electronically
  • Order, receive, and stock office supplies
  • Photocopy, fax, scan, mail. and file documents
  • Maintain paper and electronic files
  • Process and distribute office mail and packages
  • Make trips to the post office as needed
  • Maintain the break room - keep items in stock, make coffee, clean, organize
  • Open and close office procedures
  • Work well independently and as a team
  • Provide excellent customer service

There are other duties expected, as assigned or necessary for efficient operations.Qualifications and Skills Education/Experience: High school diploma or GED. 3-6 months of office experience preferred.Certifications/Licenses: None required.Driving Requirements: Valid driver's license required. Will run errands, go to the post office, and pick up office supplies.Physical Requirements - Lift, push, pull, and carry up to 20 pounds chest high. Must be able to reach, push, pull, and grasp with arms and hands. Will require daily standing, crouching and/or kneeling, sitting, climbing, and walking, although the position is mostly sedentary. Repetitive motion of the wrists, hands, and/or fingers. Must be able to talk, hear, and see. Must be able to assess accuracy, neatness, and thoroughness of work.Work Environment - Indoor shop/office setting. Includes potential exposure to chemicals, dust, odors, fumes, oil, and gases. Noise level is typically low to moderate.Communication Skills - Must be proficient in reading, writing, speaking, and understanding English. Excellent verbal and written communication skills as well as providing excellent customer service. Proficiency in technical writing and communications. Understand all audiences and develop appropriate communication solutions. Skilled at cultivating and managing relationships.Cognitive Skills - Must be able to focus for long periods of time. Ability to comprehend financial data, details, problem solve and ensure consistency and accuracy in all work product. Apply critical thinking skills by conceptualizing, analyzing, and evaluating information. Computer Skills - Efficiently navigate a web browser, mobile applications, electronic timesheets, and Microsoft Office 365 Suite (Excel, Teams, Word, SharePoint, OneNote, etc.). Must be able to design professional presentations. Experience in creating and updating spreadsheets with attention to detail.
