General Description:The purpose of this job is to provides administrative and clerical duties to the Detention Center by performing the following duties.This class works under close supervision.Duties and Responsibilities:The functions listed below are those that represent most of the time spent working in this position. Management may assign additional functions related to the type of work of the position as necessary. Performs general office functions as required including typing, bookkeeping, photocopying, arranging, and scheduling meetings, securing signatures and filing. Prepares invoices for payment and generates Purchase Orders. Takes dictation and transcribes dictation; prepares correspondence and other letters; schedules appointments; notarizes documents; composes replies and other routine activities. Maintains office and personnel files; sorts, indexes, and files material alphabetically, and numerically and/or predetermined classifications. Enter, and correct time in time clock, and prepare timesheets for finance for employees. Maintains supply inventory for the office and ensures that equipment inventory is current as prescribed. Keeps abreast of established policies, routine practices and procedures, the organization structure, and of recent developments in secretarial/office techniques, using independent judgment in handling routine matters, correspondence and providing information to inquirers. Operates and maintains office equipment such as typewriter, copier, adding machine, and tape recorder. Interacts and communicates with various individuals and agencies. Preparation of the departmental budget and handling employee requests. Filing for the medical department as well as assisting with scheduling outside appointments for inmates. Assisting with bank deposits for inmate canteen funds. Receiving deliveries for medical and administration. Releasing inmate property as requested by supervisor(s). Assists public in lobby. Performs other duties and related work as instructed and assigned.Supervisory Functions: None.Minimum Education and Experience Requirements:Associate degree (A. A.) or equivalent in secretary science from two-year college or technical school; and two years related experience and/or training. Data processing and accounting skills desired. Microsoft Office Suite.Physical Demands:While performing the duties of this job, the employee is occasionally required to stand; walk; sit; use hands to finger, handle, or feel; reach with hands and arms; talk or hear; and taste or smell. The employee must occasionally lift and/or move more than 50 pounds.
