Position Summary

This position will assist in supporting the IT organization and will proactively provide a full range of administrative support for the Sr. Director of IT Analytics and Innovation as well as team coordination/support, as needed, for the local and functional teams. With minimal guidance and supervision, will be able to carry out all assigned responsibilities and balance the broad, varied, and in some cases complex needs of multiple individuals. The candidate must be able support staff, works autonomously and demonstrates innovation and flexibility in performance of daily operational tasks. The successful candidate will be highly self-motivated with strong organizational and interpersonal skills, as well as interact with internal and external stakeholders professionally.

This position belongs to a family of jobs with increasing responsibility, competency, and skill level. Actual position title and pay grade will be based on the selected candidates experience and qualifications.

Key Responsibilities

  • Carries out a variety of administrative duties to assure the efficient operation.

  • Effectively prioritizes work, meets deadlines, while anticipating needs and requirements. Proactively support assigned leader(s) in all assigned responsibilities, taking direction from multiple staff members and balancing the needs of the group

  • Assists in managing leaders calendar, coordinate team calendars, schedules, and coordinates logistics for internal and external meetings. Arrange travel schedules, travel itineraries, reconcile T&E expenses.

  • Assist in the collaboration with Creative Services and Communication for all team needs

  • Schedule, plan, and organize all logistical details for in-house and off-site meetings, etc., as needed.

  • Assist in the onboarding/offboarding activities for new hires including but not limited to system access, computer set up, and scheduling initial introduction meetings

  • Communicate with internal and external persons and act as buffer, including screening, prioritizing, and directing inquiries to appropriate resources

  • Handle confidential data and matters in a discreet and professional manner.

  • Assists with sign-in and sign-out processes for visitors and vendors.

  • Work as a team player with other assistants and teams.

  • Special projects as required.

Education and Experience

  • High School Diploma or GED required. Associate degree or equivalent in business administration or related field preferred.

  • Minimum of 5 years of administrative assistant experience.

  • Proficient in office management & current computer/office communications technologies.

  • Strong Microsoft Office Suite experience and managing video conferencing.

  • Demonstrated professional interpersonal skills high level of motivation, integrity, self-confidence and ability to take initiative and work well independently.

  • Excellent administrative, organizational, and professional communication skills (verbal and written).

  • High level of attention to detail.

  • Demonstrated ability to balance workload under short deadlines and changing priorities in a fast-paced environment.

  • Ability to prioritize and manage multiple tasks simultaneously.

  • Collaborative team player with proactive approach.

  • Ability to ensure security of confidential information discretion and confidentiality required.
