Profile:

The Administrative Assistant to the Executive Vice President plays a crucial role in ensuring the smooth operation of the executive office. This position involves a variety of administrative tasks that require a high level of trust and initiative. The Administrative Assistant will provide comprehensive support to the Executive Vice President and their team, as well as collaborate with other stakeholders across the organization. Key responsibilities include managing confidential information with care, preparing detailed reports, and handling essential clerical tasks such as drafting correspondence, greeting visitors, coordinating conference calls, scheduling meetings, and organizing travel arrangements.

Job Responsibilities:

  • Manage the Executive Vice President's calendar, scheduling meetings and appointments to make the best use of their time.
  • Arrange travel plans for both domestic and international trips, including flights, hotels, transportation, and meals, ensuring all necessary documents are provided.
  • Prepare meeting agendas, presentations, and materials while organizing logistics for meetings to ensure everything runs smoothly.
  • Organize and keep confidential files and documents, and help prepare reports, memos, and presentations.
  • Oversee the collection of rent from properties owned by the Executive Vice President, ensuring timely payments and maintaining accurate records.
  • Check and reconcile expense reports to ensure they are accurate and meet company policies.
  • Adjust procedures and processes as needed to support the team's goals.

Required Qualifications, Capabilities, and Skills:

  • Bachelor's Degree required (preferably in Business Administration or a related field).
  • At least 3 years of experience as an administrative assistant.
  • Energetic and calm, with great communication and presentation skills.
  • Proactive and able to anticipate needs while adjusting to changes.
  • Trustworthy and able to handle sensitive information carefully.
  • Team player who builds positive relationships.
  • Sense of humor and a positive attitude.
  • Good listener who can process and act on information well.
  • High levels of confidentiality and discretion.
  • Skilled in Microsoft Office (Outlook, PowerPoint, Excel, Word).

This job is on-site 5 days per week.

The pay range for this position is: $80,000 - $110,000 per year
