Job Title: Administrative Assistant

Salary: $20-22 per hour

Location: Westminster, CA

Openings: 1) Position Available

Job Purpose: The Administrative Assistant is responsible for performing a variety of clerical functions to ensure an efficient operation of the office andto enhance patient experience. This role is responsible for patient check-in, patient check-out, insurance eligibility, referrals, and other related office duties.

Job Duties:

* Manage internal and external referrals and ensure timely response and connection to services

* Assist in the management of the Imaging Center waitlist by outreaching to patients, scheduling intakes as appropriate, and providing weekly updates to manager

* Support the eligibility specialist by gathering updated patient demographic information and by collecting and verifying patient insurance

* Assist in determining patient copays and collecting copays

* Assist with coordination of transportation for patients

* Carry out administrative duties such as scheduling appointments, confirming appointments, and coordinating resource referrals

* Provide administrative support to providers, including scheduling follow-up appointments and providing referrals to patients

* Confirm all imaging appointments and follow up with missed appointments, no shows, and cancellations

* Assist with overseeing provider schedules to ensure maximum productivity

* Secure patient information and maintain patient confidentiality by completing and safeguarding medical records and other patient health information

* Maintain safe, secure, and healthy work environment by following agency standards and procedures and by complying with legal regulations

* Represent the organization in a professional manner

* Perform other related duties, as assigned

Required:

* Skill in operating a computer using various programs and databases: e.g., Microsoft Office: Word, Excel, Power-Point, Access, etc., Internet, etc.

* Skill in proofreading/editing for spelling, continuity, punctuation and grammar.

* Word processing skills to quickly and accurately prepare manuscripts, correspondence, etc.

* Working knowledge of medical terminology.

* Ability to read and follow precise written instructions for preparing manuscripts, abstracts and various forms.

* Excellent written communication skills to compose and edit letters, memos and other correspondence using proper grammar, punctuation, spelling and syntax.

* Excellent customer service skills and ability to handle unexpected situations.

* Excellent analytical skills with ability to review detailed work.

* Demonstrated skill in planning, note taking, and meeting preparation

* Demonstrated ability to design, modify, and generate spreadsheets, create formulas, modify formats and run various reports in Excel.

* Ability to organize and manage large volumes of material in an established system with careful attention to detail.

* Demonstrated skill in assessing situations, anticipating problems, gathering information utilizing various resources.

* Ability to work effectively with coworkers, including managers, directors in various departments by sharing ideas in a constructive and positive manner, listening to and objectively considering ideas and suggestions from others, keeping commitments, keeping others informed of work progress, timetables and issues; addressing problems and issues.

* Ability to use office equipment such as: personal computer, EMR/HER, calculator, phone, photocopier, fax, scanner, printer, etc.

* Ability to travel and work at Department locations where assigned faculty have offices.

* Imaging center experience is highly recommended.

* Bilingual in Spanish (Required)

Education and Experience:

* High school diploma or equivalent required

* Associate's degree or vocational school training preferred

* 3 years' experience in medical office setting

* Experience working in community mental health clinic preferred

* Experience with payroll is a plus!
