Job Summary
The Department of Comparative Pathobiology (CPB) in the College of Veterinary Medicine is seeking a dedicated and organized Administrative Assistant to join the team in our main office. This role offers a unique opportunity to work in a collaborative environment. Key responsibilities include greeting and directing visitors, handling inquiries, and managing phone calls.
Additional duties include:
* Researching, composing, and proofreading various correspondences, business forms, agendas, documents and reports, as required by the department.
* Managing daily operations such as opening and closing the main office, conference rooms, and the copy room.
* Overseeing the maintenance and logging of parking passes, office supplies, and room calendars.
* Scheduling classrooms and conference rooms for VPTH/VPRB buildings.
* Managing departmental mail and packages, updating mailboxes, submitting service repair requests, and maintaining office equipment, including shredders, printers and copiers.
* Coordinating travel and preparing detailed itineraries for departmental visitors.
* Creating flyers and promotional materials.
What We're Looking For:
Education and Experience:
Required:
* High school diploma/GED
* 2 years of experience in a clerical or administrative support role.
* Excellent customer service, verbal, and written communication skills.
* Ability to handle frequent interruptions, balance multiple tasks, meet deadlines, and maintain confidentiality.
* Strong organizational and time management skills and attention to detail
* Computer and related software skills, including Word, Excel, PowerPoint, Outlook, Internet, etc.
* Typing, data entry, proofreading, and editing skills.
* Ability to identify routine problems and implement or recommend solutions.
