Position Title: Administrative Assistant Location: St. Charles, MO Position Summary: Provide administrative support to the Engineering and Accounting departments with various administrative responsibilities. The position requires strong verbal and written communication skills, technical skills, ability to multi-task, attention to detail, and the initiative to work in a sometimes-ambiguous environment. Primary Responsibilities: Engineering
  • Assist the Engineering department with daily/weekly tasks such as ordering supplies, managing calendars, creating expense reports, arranging travel plans, etc....
  • Proactively schedule and communicate to ensure that Engineering Leads and their teams are prepared for key meetings and deliverables.
  • Participate in and lead projects to further effectiveness of the department.
  • Must exercise independent judgement regarding significant internal/external customer matters.
  • Prepare and edit high-quality correspondence, communications, presentations, and other documents.
  • Schedule and coordinate virtual company meetings to ensure flawless communication.
  • Recognize as well as assist with improvements. (For example, forms to be revised, filing systems updated, basic procedures streamlined)
  • Assist Engineering Project Managers with data entry for labor tracking.
  • Track and follow up on open purchase orders.
  • Complete the Manufacturing Order (MO) paperwork, follow up on any pending documents, finalize, and archive.
  • Prepare job folders and other required documentation for new jobs.
  • Prepare Engineering department time sheets.
  • Serve as backup for Project Coordinator.
  • Serve as internal ISO Auditor.
  • Assist with the preparation of sales proposals.
  • Update Bill of Materials, title blocks and miscellaneous drawing tasks, when necessary.
  • Assist with Research and Development tax coordination.
  • Serve as front desk backup to the receptionist, as needed.
Accounting
  • Code and match invoices to receiving documents and post in Great Plains.
  • Code, enter and post payables invoices without purchase orders in Great Plains after receiving appropriate approvals.
  • Ensure timely disbursement of funds and generate accounts payable checks.
  • Record electronic payment in Great Plains.
  • Research vendor statements, phone calls and discrepancies.
  • File paid and unpaid invoices.
  • Organize and match returns paperwork.
  • Organize and match shipping and receiving documents to vendor invoices.
  • Prepare account reconciliation, as assigned.
Required Skills:
  • Associates Degree with 2 + years of administrative experience in a fast-paced and demanding environment.
  • Experience with Microsoft Office Product Suite, including Word, PowerPoint, Excel, Outlook, OneDrive, SharePoint, and Teams.
  • Strong attention to detail.
  • Ability to solve basic math problems.
  • Ability to remain organized and professionally communicate both verbally and written.
  • Strong communication skills and ability to work effectively with all levels of management, other colleagues and team environment.
  • High integrity and ability to handle confidential information with high degree of discretion and sensitivity.
Preferred Skills:
  • Prior Engineering and/or Accounting Administrative Assistant experience.
  • Great Plains experience.
Physical Requirements:
  • Sitting, standing, and walking in office, warehouse, and manufacturing environments.
  • Ability to bend, lift, and position self to move about the office, as needed.
  • Required use of fingers and hands to operate a computer.
  • Vision abilities required by this job include close and/or color vision, and ability to adjust focus.
