JOB SUMMARY:# Provides office management support to Care Management Services.# Acts as a liaison with internal hospital and nursing home staff as well as outside agencies, insurance companies, patients and their families.# Provides support to the Customer Communication Program under the direction of Care Management Representative. # PRIMARY JOB RESPONSIBILITIES: Facilitates all patient/family communications as required for the Care Management Department and maintains HIPPA regulations under the supervision of the Director. # Types finished formatted copies from rough drafts, proof reading for spelling, punctuation, compositional and numerical correctness.# Develops and follows systems to ensure efficient work flow and completion of work by due dates. # Maintains files to achieve an organized and user-friendly system easily accessible to department staff and orders supplies as needed to anticipate the needs of the department. # Facilitates the organization of IPRO correspondence within the care management files and B/AR system under the director.# Ensures that all copies are sent promptly to specified individuals. # Coordinates the transfer and completion of paperwork for 5-10 patients daily going to nursing homes/rehab facilities. # Prepares agendas, minutes and any required materials for 10-15 Collaborative Practice Groups and other department meetings monthly as needed. # Attempts to answer all telephone calls personally by the 3rd ring.# Routes calls to proper staff member, when personnel are unavailable, accurately recording and delivering messages.# Acts as customer service ambassador for the department by greeting visitors, listening empathetically, obtaining necessary information, is courteous about interruptions caused by other calls or events, and models calmness.# Directs visitors or callers to the appropriate resource or takes them directly as needed. # MINIMUM QUALIFICATIONS: High school graduate.# Minimum of two years secretarial experience in a human service setting with a working knowledge of medical terminology.# Associates Degree in secretarial education or business management strongly preferred. Salary Range: $17.25 - $27.45 Pay Grade: 17 Compensation may vary based upon, but not limited to: overall experience and qualifications, shift, and location.
