Job DescriptionPOSITION TITLE: Administrative AssistantREPORTS TO: Executive Staff Assistant POSITION SUMMARY:This person would provide a full range of support including (but limited to) the following: help Executive Staff Assistant to manage Senior Executives in our Global Production & Sourcing department and our AE Design department; manage senior leadership calendar maintenance, expenses/travel, meeting set up, requesting/confirming models for meetings, support the Production teams with basic needs, UKG/Kronos timekeeping for the teams. Google Workspace experience is highly recommended. Also Ariba and Concur experience is a plus.RESPONSIBILITIES:
- Assist in managing and maintain the calendars for SVP of Global Production & Sourcing as well as their direct reports; Individual would need to feel comfortable and empowered to make judgment calls on time and calendar priorities
- Partner with other Executive Staff Assistants (ESAs) to coordinate meetings and general administrative needs; Attend monthly ESA call to stay connected
- Plan and execute domestic and international travel planning and expense reporting for SVP & directs as needed
- Set up and maintain a streamlined and organized tracking and filing system for onboarding and offboarding associates and update distro lists accordingly.
- Responsible for composing memos and general correspondence
- Assist in the creation and editing of presentations and other materials that SVP & leaders may request
- All other duties as assigned
- Able to work in a hybrid environment, meaning that some work may be performed remotely but certain essential functions must be performed in-person/in-office based on the needs of the business.
- In person/in-office collaboration is required particularly for leader and team support, the frequency of additional in-person/in-office collaboration (e.g., portion of week, entire week) is dictated by business needs. Such collaboration includes work centralized around milestone meetings.
QUALIFICATIONS:
- Bachelor degree; 3+ years previous & relevant executive-level support experience
- Critical / forward thinking proficiency
- Confidentiality & professionalism is non-negotiable
- Command presence / professional demeanor
- Ability to maintain a flexible schedule as well as flexible remote work vs in-office work (will be contingent on SVP's needs and requests)
- High degree of proficiency Google Workspace & Internet applications
- Strong analytical, prioritizing, interpersonal, and problem-solving skills
- Strong verbal and written communication skills
- Strong project management (from conception to completion) & planning skills
- Demonstrated collaborative skills and ability to work well within a team
- Ability to work in a fast-paced and deadline-oriented environment
- Self-motivated with critical attention to detail, deadlines and reporting.

- Actual starting pay is determined by various factors, including but not limited to relevant experience and location.
