The salary of the finalist selected for this role will be set based on a variety of factors, including but not limited to departmental budgets, qualifications, experience, education, licenses, specialty, and training. The above hiring range represents the University's good faith and reasonable estimate of the range of possible compensation at the time of posting.
Position Summary
Reporting to the Director of the Carroll Laboratories, the Administrative Assistant will perform administrative duties such as coordinating seminars, compiling financial reports, assisting with grant submissions, and processing laboratory orders.
Responsibilities
* Coordinate and organize seminars, including but not limited to scheduling, coordinating traveling information for the speakers, arranging food, making announcements, coordinating promotion for social media, etc.
* Assist with grant proposal submission and administration
* NIH ASSIST data entry (e.g., budget forms, PDF uploads)
* Organization of administrative components for submission
* Subcontract follow-up
* Provide administrative support for the laboratories
* Ordering office supplies and laboratory supplies through Quartzy
* Managing monthly spending and account balance reports
* Managing facilities and maintenance requests
* Assisting with setting up new hires and students (e.g., coordinating with the HR and IT team for appropriate building access, system access and health clearances)
* Assist with manuscript editing and publication submission
* Provide quarterly academic dashboard information for Carroll Labs' faculty
* Perform other related administrative duties as assigned
Minimum Qualifications
* Bachelor's degree or equivalent in education and experience

* Ability to perform individually and collaboratively
* Great communication skills, verbal and written
* familiar with Microsoft suite
