What you'll doThe Administrative Assistant will be instrumental in ensuring the efficient operation of the executive leadership team and supporting the CEO through the Director of Operations. This position demands a dedicated individual who can effectively navigate a fast-paced executive environment while ensuring the CEO's personal and professional life runs smoothly. The ideal candidate will be highly organized, proactive, and skilled at handling confidential information with discretion. Additionally, this role involves streamlining administrative tasks and logistics for the Executive team, ensuring efficiency and organization, and will report to the Director of Operations. This role is based in Missoula, MTSupport the Director of Operations in tasks related to the CEO
  • Personal Task Management: Manage personal tasks for the CEO, including, but not limited to; paying bills, setting up appointments, scheduling, etc
  • Project Management: Oversee and project-manage personal projects on behalf of the CEO, which may include home maintenance, events, or personal errands.
  • Vendor Coordination: Liaise with local vendors to ensure timely and quality execution of personal projects and tasks.
  • Confidentiality: Handle sensitive and confidential information with the utmost discretion.
  • On-site & Off-site Work: Assist with personal projects both inside and outside of the office, including tasks that require off-site management or personal oversight
Executive Team Support
  • Scheduling & Calendar Management: Manage the calendars and schedules for the executive team, ensuring all meetings, calls, and events are appropriately booked.
  • Travel Coordination: Organize travel arrangements for the executive team as needed, including booking flights, accommodations, and transportation.
  • Correspondence: Assist with communication on behalf of the executive team, including responding to emails and calls when asked.
Operational Support for Operations Team
  • Operational Assistance: Support the Operations team with day-to-day tasks as needed such as communicating with vendors, being hands-on in the office keeping the space tidy and comfortable, and jumping in on projects.
  • Communications: Company communications such as birthday shoutouts, event information and invitations, etc as needed.
Additional Responsibilities:
  • Event Coordination: Assist in the execution of company and executive events, both personal and professional.
  • Technology Management: Ensure that the CEO and executive team have the necessary technology resources, coordinating IT support when necessary.
What you will bring
  • 1-2 years of experience working in an administrative role
  • Ability to handle confidential and sensitive information with complete discretion.
  • Exceptional organizational skills with a keen attention to detail.
  • Strong verbal and written communication skills.
  • Ability to prioritize and manage multiple tasks simultaneously.
  • Tech-savvy and proficient in Google Suite, and familiar with travel booking platforms.
  • Adept at handling last-minute requests and shifting priorities with a positive attitude and a desire to learn new skills.
  • Ability to work with and accommodate various personalities and work styles.
