Summary/Primary Purpose: Provide administrative support to the Youth and Candidates' departments. Manage the office, perform clerical and administrative tasks, manage information systems, and assist with seasonal activities and divisional events as needed.

Essential Duties and Responsibilities:

  • Handle all word processing and clerical tasks including routine correspondence, reports and requests.
  • Set up meetings, prepare meeting documents and take minutes as requested.
  • Handle all incoming and outgoing communication, including telephone calls, messages and mail. Complete telephone calls upon request.
  • Create and maintain filing system, physical and digital.
  • Upload and organize Candidates' paperwork.
  • Schedule appointments as requested.
  • Maintain department e-mail/mailbox, calendars and databases.
  • Account for office supplies, organization, inventory, supply ordering and cleanliness.
  • Give technical assistance to Corps or Units in the development and implementation of programming, as directed.
  • Prepare files for projects and keep them current.
  • Assist with the Divisional Youth Reviews and scheduling.
  • Update and maintain social media communications as directed by the DYS & YMC.
  • Provide updates to the Departments website as directed.
  • Submit required data, reports and budget information to various sources.
  • Assist with the compilation, collection and submission of reports to Territorial Headquarters.
  • Assist with major events and seasonal programs
  • Driving is an essential function of this position.
  • All other duties as assigned.

    Education and/or Experience: Associate degree (AA), and 3-5 years' experience preferred.

    Qualifications: The requirements listed below are representative of the minimal knowledge, skill, and/or ability required for this position.

  • Ability to be flexible and able to work on multiple projects or tasks simultaneously
  • Intermediate skills in Microsoft software to include Word, Excel, PowerPoint and Access. As
  • well as the ability to access payroll, timekeeping and personal data via a web-based system.

  • Administrative skills to include utilization of standard office equipment, data entry, 10-key,
  • attention to details and filing.

  • Good communication skills both written and spoken, and ability to maintain effective working
  • relationships.

  • Demonstrated ability to handle confidential matters.
  • Other Qualifications: Must pass all applicable background checks. Must possess a valid driver's license from the state in which you reside. Must be approved through The Salvation Army Fleet Safety Program to drive either a Salvation Army or personal vehicle on Salvation Army business. Must successfully complete Safe from Harm training within 90 days of hire, as established by The Salvation Army.

    Working Conditions: The work environment is a business office setting with office equipment, light traffic and moderate noise levels.
