Administrative Assistant

Overview: We are seeking a highly organized and communicative Administrative Assistant to support the General Manager, Department Managers, and Sales Team. This role is key to ensuring the smooth operation of our sales administration and general office functions.

Essential Duties and Responsibilities (not in order of priority):

  • Act as the first point of contact, answering and screening incoming calls and correspondence, and responding professionally to inquiries where possible.
  • Coordinate and manage office supply orders and handle administrative tasks to support multiple departments.
  • Process incoming mail, truck sales paperwork, and vehicle titles accurately, ensuring all documentation is compliant and filed appropriately.
  • Assist with onboarding new hires, including conducting orientations.
  • Code invoices and assist with basic accounting and financial documentation.
  • Maintain and update database and spreadsheet files, ensuring accuracy and accessibility for the team.
  • Serve as the custodian of company records, ensuring all documents are organized and secure.
  • Provide consistent, reliable on-site presence to support the day-to-day needs of the office.

Physical & Work Environment:

  • Ability to sit frequently and for long durations.
  • Must be able to sit for extended periods and occasionally lift up to 25 pounds.
  • Regular on-site attendance is essential.

Education, Skills & Knowledge Required:

  • Associate's degree or equivalent, with 3-6 years of related administrative experience, preferably in a sales environment.
  • Excellent communication skills, both written and verbal, with the ability to interact professionally with customers, clients, and colleagues.
  • Strong knowledge of Microsoft Office Suite (Outlook, Excel, Word) and the ability to manage contact databases and spreadsheets.
  • Detail-oriented with strong organizational skills and the ability to manage multiple tasks simultaneously.
  • A team player who can also work independently and make sound decisions in a fast-paced environment.
